Job Description – Reception Manager
Job Title Reception Manager / Team Leader
Reports to: Practice Manager
Accountable for: Reception & Admin Team
Hours of work: 25 hours
To oversee, support and manage reception and administrative staff as necessary in the smooth running of the GP Surgery. Be the main and first point of contact for the reception team and ensure effective communication within the reception team. Be the first point of contact for patient queries.
Where individual staff members cannot resolve difficult situations/complaints to take responsibility for ensuring that matters are dealt with effectively and satisfactorily, escalating to Practice Manager only when necessary.
To lead and motivate the reception team ensuring effective communications systems are in place to keep receptions staff fully informed of events and changes in procedures and implement externally driven changes.
Regular monitoring to ensure telephone calls are dealt with in a prompt and efficient manner.
Ensuring efficient management of the patient appointments system. Maintain the appointment book planner, and staff rota including management of holiday and sickness absence.
Manage reception holiday requests. Manage reception absence with the assistance of the Practice Manager if required.
Assist with reviewing and developing reception procedures and protocols as required. Develop, implement and embed efficient reception processes and procedures.
Ensure mandatory training in reception is completed annually and any training needs are communicated to the Practice Manager.
Review reception team members abilities and skill sets; develop individual and group training and development plans, organise, and oversee training sessions and their outcomes/improvements.
Assist with reception appraisals.
Be responsible for arranging and monitoring staff inductions in reception.
Support with recruitment as needed.
Monitor feedback on NHS Choices and Family & Friends Test; putting forward solutions that will improve the patient experience, give support to Practice’s Patient Participation Group.
Provide first port of call for any in-house IT problems. Resolving simple problems personally and escalate to the appropriate third-party organisation when necessary.
Be responsible for promotional materials for various campaigns and making sure notice boards and TV screen are up to date and relevant.
Responsible for management of building maintenance and repairs, oversee cleaning contractors, decorating programme, repairs, and maintenance, equipment upgrades. manage third party services such as legionella checks, equipment calibration and PAT testing. Carry out necessary Risk Assessments – Fire; Health & Safety; Oxygen; IT Security; Accessibility.
To provide a proficient and effective support to the Practice Manager and to undertake any other relevant task or duty as required by the Practice Manager to ensure the efficient operations of the Practice
At all times to respect and maintain all aspects of confidentiality, ensuring that all members of the reception team also do so.
The ideal candidate will have a good working knowledge of Emis Web, and have worked in a supervisory role in General Practice in the last 3 years.
Job Types: Part-time, Permanent.
Monday to Friday 25 Hours - 10:00 – 15:30 (needs to be flexible in the event of sickness and holidays)
Salary: £15 per hour. £ 19,553.00 per annum. Full time Equivalent - £28,939.00 per annum.

Asa GP surgery we continue to follow social distancing guidance in the work place both for staff and patients. Mask wearing is mandatory for clinical staff and patients and optional for admin staff. A high level of Infection Control continues.
