Job summary
To be responsible for undertaking a wide range of reception and administrative duties and the provision of support to the multidisciplinary team. Successful applicants will be required to work in both our main Monmouth site and in our branch site in Raglan.
Duties can include but are not limited to supporting the administration and receptionist teams with patient registration, booking appointments, processing of information (electronic and hard copy) in a timely manner and in accordance with current policies. To be responsible for the read coding of relevant information into patients’ electronic healthcare records on EMIS clinical system, adhering to the correspondence management policy.
To support staff with the distribution of information, messages, and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

Security
The security of the organisation is the responsibility of all personnel. The post holder must ensure they always remain vigilant and report any suspicious activity immediately to their line manager.
Under no circumstances are staff to share the codes for the door locks with anyone and are to ensure that restricted areas remain effectively secured.
Likewise, password controls are to be maintained and are not to be shared.

All staff are required to dress appropriately for their role.
Primary key responsibilities
The following are the core responsibilities of the Reception and Administrative
Assistant. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
a. Maintain and monitor the practice appointment system
b. Process personal, telephone and e-requests for appointments
c. Answer incoming phone calls, transferring calls or dealing with the callers’ request appropriately
d. Signpost patients to the correct service
e. Initiating contact with and responding to, requests from patients, team members and external agencies
f. Data entry of new and temporary registrations and relevant patient information as required
g. Input data into patients’ healthcare records as necessary
h. Direct requests for information, i.e., SAR, insurance/solicitors’ letters and
DVLA forms to the administrative team
i. Manage all queries as necessary in an efficient manner
j. Carry out system searches as requested
k. Monitor and maintain the reception area and notice boards
l. Support all clinical staff with general tasks as requested
m. Process incoming and outgoing mail
n. File and store records as required
o. Photocopy documentation as required
p. Process and distribute incoming faxes and emails
q. Process changes to patient registration, deduction of record and new patient registration
r. Welcome patients and visitors to the organisation, directing requests appropriately
s. Scanning of patient related documentation and attaching scanned documents to patients’ healthcare records
t. Accurately clinically coding data on the clinical system into the patient record
u. Identifying relevant clinical information documented in patient correspondence, coding appropriately and completing any detailed action
v. Inputting and extracting data as required to support practice reports
w. Maintain a clean, tidy, effective working area at all times
Secondary responsibilities
In addition to the primary responsibilities, the Administration Assistant may be requested to:
a. Support reception and administrative staff, providing cover during staff absences
b. Complete opening and closing procedures in accordance with the duty rota
c. Deputise for the department lead during periods of absence
d. Support the department lead in producing and maintaining the duty rota
e. Support the health promotion lead and display promotional material on the allocated noticed boards and in the waiting room
f. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels
