Job overview

The post holder has a key role in maintaining the Quality Programme and supporting the BMT Programme Clinical Programme Director and respective Collection and Processing Directors who have overall responsibility for the Quality Programme as part of the overall requirements for JACIE accreditation and HTA licence maintenance. The department has an established quality management system and has had JACIE accreditation in place since 2005.


Main duties of the job

The post holder will be responsible for the maintenance of the quality management service for the Bone Marrow Transplant programme at Nottingham City campus, facilitating the achievement of all standards required to comply with our Human Tissue Authority Licence for the human application of stem cells and for accreditation by the Joint Accreditation Committee for Bone Marrow Transplantation within Europe (JACIE).


The post holder will be based at City campus.

Working for our organisation

The haematology team at NUH are looking for a team of highly motivated colleagues to join our integrated forward thinking service in the provision of an NHS-England accredited CAR-T program beginning in 2023. To ensure a high quality service, the Trust has provided funding for multiple new posts in all aspects of CAR-T provision including roles in the medical, nursing, pharmacy, stem cell laboratory and apheresis teams as well as a large capital investment into equipment. This is an exciting opportunity to join a leading centre at the forefront of research and clinical innovation in haemato-oncology which will provide the CAR-T service for the East Midlands.

Detailed job description and main responsibilities

Quality Management

The post holder will be required to assist the Quality Manager in the following:-

  • Coordinate and monitor actions required for implementing and maintaining the quality assurance system.
  • Coordinate and monitor actions required for implementing and maintaining the quality control system.
  • Coordinate and monitor the document control system.
  • Maintenance of all Standard Operating Procedures (SOP) within the BMT Programme including the ward, stem cell collection / apheresis unit and the Stem Cell Laboratory
  • Facilitate the development of new documents and continuous improvements to enhance the functioning of the BMT Programme.
  • Coordinate and monitor the internal audit system and ensuring that the annual audit cycle is completed
  • Collating data to help compile and present an annual report relating to Quality Issues to the Transplant Programme Director.
  • Be responsible for organising monthly Quality Management Group Meeting, including circulation of agendas and minutes and acting as Chair in the absence of the Quality Manager.
  • Identifying and adhering to timescales and deadlines required for accreditation.
  • Deputise for the QM as required.

Clinical Governance, Audit and Research

  • Participate in Departmental Governance meetings and processes in QM absence.
  • Assist in undertaking investigation of incidents, clinical audit and risk assessment.
  • Undertake/supervise required reporting of events internally via the Trust Datix system, and to external authorities relevant to the BMT programme e.g. HTA.
  • Assist in monitoring corrective actions, providing coordination and support as required.
  • Assist in supervising data collection and submission of BMT programme annual follow up data by data managers for national BSBMT Activity and Outcome Report to Specialist Commissioners and manage the data team.
  • Support others undertaking audit and research activity in collaboration with Research Audit (R+D) Department.

Education and Development

  • To participate in formal and informal education programmes to promote and inform all professionals and service users of the Quality Management Service and JACIE accreditation.
  • Assist the QM in liaising with Clinical Educators to ensure the appropriate ongoing education of the nursing staff.
  • Assist the QM in work with the Training Programme Director for the Haematology Higher Specialist Training programme to ensure the appropriate ongoing education of the ST grade staff.
  • To undertake a minimum of ten (10) hours of educational activities related to cellular therapy, cell collection, cell processing and/or quality management annually.
  • To attend relevant national and international conferences and study days, representing the Trust and bringing information back to share with colleagues.

Knowledge and Communication

  • Understand the transplant process and interactions required from the perspective of the patient, donor, product and staff involved for both autologous and allogeneic transplants.
  • Maintain knowledge of current Regulations, Policies and Standards applicable to the BMT programme, including JACIE standards and HTA Guide to Quality and Safety Assurance for Human Tissues and Cells for Patient Treatment.
  • Network and forge links with other Quality Managers from other adult services.

In the absence of the Quality Manager, the post holder shall

  • Act as a local, regional and national contact for quality audit and JACIE accreditation for BMT Programme. Attend departmental, divisional and Trust level meetings as the representative for the BMT Programme.
  • Ensure effective communication at all times with professional agencies and service users and to maintain SLAs with key agencies.
  • Act as the principal contact between the BMT programme and external authorities.

  • The post holder shall act as Web Editor for Clinical Haematology pages of NUH intranet with support from ICT services.
