We also operate Tramlink in Croydon on behalf of Transport for London and Heathrow Express with Heathrow Airport.
You will be the first point of contact for Rail Property Director and will manage the Property Director's complex and extremely busy diary, pro-actively ensuring that travel details and relevant papers are brought forward in time for meetings. Screening the Property Directors' incoming mail and e-mail, making necessary arrangements and appointments, drafting responses to correspondence on behalf of the Property Director as appropriate, along with managing their company expenses (Concur). Preparing meeting agendas as well as the distribution of meeting papers, including minutes, matters arising, managing the Property Director's approval of Capex and Docusign and supporting the preparation of exec reports.
Other duties include:
- Manage Property Team's purchasing/invoicing process via SAP accounting system
- Manage travel arrangements, including flights, transportation, and accommodation on behalf of the Team
- Maintain the Team's Estate Management Leasing Data Base (Sequentra)
- Monitor team leave requests, Performance Development Reviews (PDRs) and other related items
- Co-ordinate Team meetings and Events; booking venues, catering and ensuring that IT equipment is up to specification
- Liaise with HR in reference to new starters and leavers ensuring that the relevant IT equipment, building pass, travel pass etc is provided/returned
- Deliver inductions to new team members,
- Support the team with simple IT issues and contact the IT department when necessary
- Maintain electronic filing system (BOX), ensuring processes and software are up to date and in working order
- Maintain a strong working relationship with other relevant functions
- Support the Head of Asset Management with managing facilities at the corporate office (The Point)
- Facilitate internal communication (e.g. distribute information and schedule presentations)
- Carry out a range of administrative tasks, including photocopying, filing
