As a Room Lettings Coordinator, you will play a vital role in managing and coordinating the process of renting out rooms in a property. You will be responsible for attracting and screening potential tenants, negotiating lease agreements, and ensuring a smooth and efficient occupancy process. Your excellent communication skills and attention to detail will contribute to creating a positive experience for both landlords and tenants.

Key Responsibilities:

Tenant Acquisition:

Utilize various marketing channels to attract potential tenants, such as online listings, social media, and partnerships with local organizations.

Respond promptly to inquiries from prospective tenants and provide accurate information about available rooms, rental terms, and property amenities.

Conduct property viewings and showcase rooms to prospective tenants, addressing their queries and highlighting the features and benefits of the property.

Tenant Screening and Selection:

Collect and review rental applications, verifying prospective tenants' personal and financial information.

Perform background and reference checks to ensure suitability and reliability of potential tenants.

Collaborate with property owners to make informed decisions regarding tenant selection based on established criteria and rental policies.

Lease Negotiation and Documentation:

Facilitate lease agreement negotiations between landlords and tenants, ensuring terms and conditions are clear, fair, and in compliance with legal requirements.

Prepare lease agreements, addendums, and related documentation accurately and in a timely manner.

Explain lease terms, rights, and responsibilities to tenants, ensuring their understanding and compliance.

Occupancy Management:

Coordinate move-in and move-out processes, conducting thorough inspections and documenting the condition of the room and property.

Collect security deposits and rental payments, maintaining accurate records and providing receipts.

Address tenant concerns, maintenance requests, and repair issues promptly and effectively, liaising with property owners and maintenance personnel as needed.

Conduct periodic property inspections to ensure adherence to lease agreements and maintain the overall condition of the property.

Market Analysis and Reporting:

Stay informed about market trends, rental rates, and competitor offerings to provide recommendations for rent adjustments and improvements to attract tenants.

Generate regular reports on occupancy rates, rental income, and other key metrics to evaluate performance and identify areas for improvement.

Qualifications and Skills:

High school diploma or equivalent (Bachelor's degree in a related field preferred).

Proven experience in property management, real estate, or a similar role.

Familiarity with local housing laws, regulations, and leasing practices.

Excellent communication and interpersonal skills, with the ability to build rapport and handle tenant inquiries and concerns professionally.

Strong negotiation and problem-solving abilities.

Exceptional organizational and time management skills to handle multiple tasks and prioritize effectively.

Attention to detail and accuracy in handling documentation and financial transactions.

Proficient computer skills, including experience with property management software and MS Office Suite.
