The Supplier Prompt Payment Team is responsible for the policies, procedures, processes and best practice surrounding the efficient purchase and payment for the goods and services required by the Scottish Government and the other relevant bodies that use our arrangements. Prompt Payment Officers have a key role in helping ensure that the Scottish Government and partners pay our suppliers on time.

The team is part of a branch dedicated to supporting the prompt payment of suppliers in line with the Ministerial commitment of paying suppliers for goods and services within ten days.

Responsibilities:
  • Manage a caseload of supplier invoices, requiring review, investigation and action to facilitate timely payment
  • Build effective relationships with internal and external Scottish Government stakeholders and suppliers
  • Provide advice and guidance on policies, procedures, processes and best practice for the efficient purchase and payment of goods and services
  • Contribute to the team’s business development, for example reviewing and improving existing desk instructions
  • Work with other team members to identify, discuss and provide solutions to emerging themes and/or common issues
  • Support managers as required across the branch, for example contributing to delivery of wider reporting and statistical analysis

Essential Criteria
1. Excellent communication skills, both written and verbal, with the ability to present information accurately, clearly and concisely
2. Strong administration and organisational skills
3. Experience of using IT, in particular Microsoft Word, Excel and Outlook
4. The ability to prioritise competing tasks and workloads, and react quickly to changing demands

Additional Information
This post is being advertised on a full time basis, however part-time applicants will be considered.


Minimum Time in Post

It is expected that the successful candidate(s) would remain in post for two years, unless successful in achieving promotion to a higher band/grade.

This is one of a number of vacancies within the Innovation Unit and in the event that further posts are required a reserve list of successful candidates will be kept for up to 12 months.
