JOB PURPOSE

The Project Support Officer (PSO) is a member of the ICS Portfolio Delivery Team and a virtual team member of the Network and Infrastructure Evolution Programme (NIEP).

As part of the ICS Portfolio Delivery Team, the PSO will work collaboratively with other PSO team members to ensure successful project delivery across the portfolio. Additionally, the PSO will work virtually as a member of the NIEP team and is responsible for providing essential support in the smooth running of the programme by supporting the Programme Manager and Project Managers in the delivery of programme / project objectives.

The PSO will be expected to communicate effectively with both teams and demonstrate excellent collaboration skills to ensure consistency, across the portfolio, in project delivery and achieve project success.

RESPONSIBILITIES

  • Logging, managing, and analysing information on the progress of NIEP and its subordinate projects and budgets, preparing progress reports and liaising with key stakeholders.
  • Accountable for the documentation related to the NIEP management and some ad-hoc content on some specific topics (e.g., business workshops).
  • Supporting the Programme Manager in the smooth operation of the programme, specifically regarding the programme weekly routine (weekly report consolidation, weekly checkpoint meetings, programme plan updates, programme specific meeting organisation, workshop preparation and documentation, etc.).
  • Supporting preparation of any Programme Boards / project and Senior Management reports / requests.
  • Recording and tracking of all programme / project Risk and Issue items.
  • Tracking actuals and forecasts of each project to ensure programme is within budget for the fiscal year.
  • Managing SharePoint access and repository for all programme / project materials - enforcing strong document management practices around inventory, storage and version control.
  • Organising Weekly Team meetings including meeting invites/rooms/agenda etc.
  • Working out metrics (performance indicators) and producing RAID logs.
  • Assisting in delivering project products through Agile, Waterfall and PRINCE2 methodologies.
  • Assisting the Programme Manager / Project Managers in drafting proposals, budgets, preliminary schedules and undertaking requirement gathering through effective communication with the business.
  • Taking minutes in meetings accurately and concisely.
  • Reporting project progress weekly to key stakeholders.
  • Working closely with project managers, reporting updates, and identifying issues which may affect project timelines.

PERSONAL PROFILE

Qualifications:
  • Bachelor's degree in a relevant field, such as project management, business administration, or computer science (desirable).
  • Project management certifications such as PRINCE2, PMP, or Agile Scrum Master (desirable).
Skills:
  • Excellent organisational skills, with the ability to prioritise tasks and manage time effectively.
  • Strong analytical skills with the ability to identify and mitigate project risks and issues.
  • Excellent written and verbal communication skills, with the ability to communicate effectively with stakeholders at all levels.
  • Proficient in Microsoft Office Suite, including Excel, Word, and PowerPoint.
  • Experience using project management tools.
  • Ability to work collaboratively with a team in a virtual environment.
Experience:
  • At least 1-3 years of experience in a project support role or similar position.
  • Experience working with project management methodologies such as Agile, Waterfall, or PRINCE2.
  • Experience managing project documentation and ensuring adherence to document management policies.
  • Experience organising and facilitating meetings and workshops, including agenda creation and minute taking.
