/ HERE'S WHAT YOU'LL DO

/ PROJECTS

  • Take a prominent seat in the engine room of the agency driving the business forward with operational best practice and creative excellence.
  • Control the delivery of all billable and internal projects within your remit, fostering a productive, expressive and commercially minded culture through your project teams. • Lead all project team meetings with agendas, priorities and detailed notes.
  • Manage and communicate RASCIs, project timing plans, milestones, accountabilities and dependencies. • Implement discipline and rigour regarding document management, filing, versioning and naming conventions within projects you own.
  • In partnership with department leads, use in-house systems to forecast agency resource requirements and project fee estimates.
  • In partnership with other project managers, control a central resourcing platform to provide accurate forecasting and utilisation figures.
  • Support our finance department with regular, standardised updates relating to your projects' commercial performance.
  • Report regularly to line manager (Operations Director) and wider project team, tailoring the appropriate level of information to ensure effective prioritisation of issues and resolutions.
  • Be a subject matter expert on our agency workflow process and ensure adoption of this within projects you own.

/ AGENCY

  • Develop and promote the Operations department and project management discipline internally across all business verticals.
  • Lead with diligence, smart thinking, clear communication and instinct.
  • Contribute to the agency culture with enthusiasm.
  • Build knowledge of the agency's offerings, mission and vision.
  • Advocate and embody 'Total Brand Experience' (Momentum's internal agency process) across all workstreams.
  • Working with your line manager, identify and undertake relevant courses and training specific to your personal and professional development.
  • Use of agency systems to convey all necessary information.
  • Establish effective relationships across all agency functions.
  • Learn global agency structure and functions, and uses resources appropriately and efficiently.
  • Ensure compliance with agency and client policies across projects.
  • Adhere to agency processes and timelines on Talent processes – appraisals, career planning, promotion & pay review cycles.

/ CLIENT

  • Collaborate with Business leads to define and articulate briefing instructions from clients.
  • Lead meetings / present where needed when relating to project deliverables / plans.
  • Contribute to pitch meetings where necessary.

/ KEY RESPONSIBILITIES

  • Operational Accountability - driving commercial and creative excellence by maximising efficiencies across the organisation.
  • Scoping & Forecasting – managing the end to end scoping and resourcing process in line with 'Total Brand Experience'.
  • Resource Planning – collaborating with our resourcing function & other billable disciplines to ensure optimum utilisation and appropriate casting.
  • Timings – owner of Project Plans, milestones and accountabilities.
  • Risk Management – work with internal project stakeholders to define risks to the project, and the steps needed to be put in place to mitigate it.
  • Budget Management – ultimately responsible for managing the commercials of the project, own master budget documents (whilst ensuring that updates are fed in by relevant teams)
  • Internal Project Communications – own kick-offs, lead internal status meetings, run team stands ups, proactive and timely communication.

/ HERE'S WHAT WE'RE LOOKING FOR

  • Ability to lead multi-discipline teams with confidence and credibility , agency-wide, on multiple simultaneous projects.
  • Project management experience, ideally in a creative or event production agency.
  • A solid understanding of Experiential / Brand Activations and the marketing mix.
  • Polished and professional manner.
  • Proven track record in building influential relationships through effective Project Leadership.
  • Strong commercial management background – strong level of Excel competence. • Able to work effectively with new systems and tools and agency management systems.
  • Collaborative approach to partnering with Business Leadership, Strategy, Creative, & Brand Experience.
  • Ability to juggle a number of projects and tasks simultaneously and consistently deliver high quality work to tight deadlines and when under pressure.
  • Strong organisational and time management skills, with excellent attention to detail.
  • Good aptitude with all MS office software –Word, O365, Powerpoint etc.
