Role Overview
As a Project Administrator Your daily tasks will involve managing and recording project information and ensuring it is accurately stored. You will also help with other administrative duties and you will be responsible for organising and controlling project activities under the direction of the Project Coordinator.
What you'll do
The following reflect the main tasks associated with the position and are not intended to be exclusive or exhaustive:
- Process a large number of documents daily, including uploading & downloading drawings / documents and printing distribution.
- Manage Estimating document control procedures ensuring, correct revision control is maintained and communicated to the relevant parties.
- Manage the Document Transmittal process with the Client.
- Working on active projects ensuring that information is recorded and uploaded onto companies Document Management System and distributed to all relevant parties.
- Maintain accurate document record logs of all drawings and documents issued by all parties at each stage of a project.
- Work to continuously improve and enhance procedures and systems utilized for document control.
- General administration of project documents.
- Perform weekly checks to ensure all project documents are kept up to date.
- Build, manage & maintain relationships with clients, contractors, other construction professionals, suppliers, and staff.
- Attend meetings and ensure that document control protocols are being adhered to ensuring that accurate minutes are recorded and distributed to relevant people.
- Producing Site Health & Safety Files for projects within current frameworks and ensuring the HSEQ files are placed on site before works commence.
- To maintain high standards of work within your department.
- Creating O&M Manuals for completed works – retrieving information from sub-contractors and ensuring completed manuals are delivered to the client within timescale.
- General administrative work and any other duties necessary to support office and site staff
- Sort and store electronic and hard copy documents for Contracts Managers, Site Managers, Designers and Supply Chain members
- Track and submit all design queries, technical submittals, inspection reports and plans for each project
- Quality checking documentation and maintaining accurate registers for review
- Issuing tender enquiries to various supply chain partners
- Arranging and booking of travel and accommodation for management and supervision personnel
- Producing Site Health & Safety Files for projects within current frameworks and ensuring the HSEQ files are placed on site before works commence.
- Pursue supply chain partners for Risk Assessments & Method Statements for review by the Project Manager.
- Retrieving site information, quality checking and storing on document management system (Pulse).
- Document Control – Creation of projects on Pulse. Ensure the smooth flow of information for the project team from design through to site. Registering and distribution of incoming and outgoing drawings and documents. Ensuring all supply chain partners and relevant stakeholders have up to date information at all times.
- Keeping all target dates set by the Project Manager in mind throughout the project and advising of any delays or any issues which may impact client relations and project completion.
- Use of H&J Martin’s bespoke computer system – “Concept” - creating & maintaining tasks
- Any additional administrative tasks which may be required, including minute taking
What you'll bring
- Must have strong IT skills with experience using Microsoft packages.
- Excellent communication skills are paramount in this role. The candidate must be comfortable being the first line of contact for H&J Martin and able to communicate easily & effectively on all levels with team members, clients and suppliers alike via any means of communication necessary.
- Must work on one’s own initiative and be able to problem solve with little or no supervision if necessary.
- Must have excellent time management skills and be able to multitask and work well to deadlines.
- Must be happy to take on additional responsibilities as and when necessary to aid with project deadlines.
