Thomson Reuters Foundation is seeking a highly organised Project Coordinator with excellent administrative, financial management and people skills to support the delivery of multiple strategic projects. The postholders work will primarily relate to a significant new donor-funded programme working to support independent media in Georgia, Moldova, and Ukraine as part of a consortium.

The postholder will work closely with the Project Manager to facilitate the effective delivery of high-quality support and ensure that the project delivers real impact for partners in those countries. You will juggle multiple demands to support the programme: ensuring financial reporting is tracked and reported on, arranging logistics, providing administrative support in managing supplier and partner relationships, and ensuring all records are kept up to date. The successful applicant will have outstanding organisational skills and be well-versed in Microsoft Outlook and Excel.

This role will sit within Thomson Reuters Foundation’s Programmes Team, as part of the Central & Eastern Europe sub-team. There are likely opportunities for the postholder to provide support to other TRF projects in or out of the region; or to support the Regional Programme Manager or Head of Programmes in wider team and corporate objectives within the Programmes team.

Please note, this is a 2-year fixed-term contract based in our London office with a requirement to attend in person at least 2 days per week. Occasional travel may be required.

About the Role

As a Project Coordinator at the Thomson Reuters Foundation, you will:

  • Provide logistical support for remote and in-person activities (such as workshops, mentoring schemes, panels and multi-stakeholder convenings.
  • Keep track of programme outputs and examples of impact and contribute to report writing.
  • Support the Project Manager in mobilising key project activities and suppliers: for example by developing terms of references or contracts; supporting due diligence processes; or monitoring work schedules for discrete pieces of work.
  • Coordinate project activities with multiple internal stakeholders as well as external contractors, partner organisations and occasionally donors (as required).
  • Support the Project Manager in monitoring programme finances and work in collaboration with the Finance Team to manage payments and invoices.
  • Provide support to key outreach activities, including research and event coordination.
  • Maintain our database records, ensuring that we document networks, relationships and ongoing
  • Research potential collaborators and act as first point of contact for enquiries. You’ll coordinate responses, involve other members of the team (as appropriate) and facilitate collaboration.
  • Maintain the alumni network of journalists involved in the programme, as appropriate.
  • Assist with other duties to support the Regional Programme Manager and Head of Programmes, as required. This could include contributing to managing the regional teams’ context monitoring, or supporting projects and processes related to the development of the wider Programme teams offer within TRF.

About You

To be our Project Coordinator, you will likely:

  • Have prior experience in a Project Co-Ordination role, ideally that included building relationships, collaboration across teams to achieve common goals and working constructively with a diverse range of stakeholders.
  • Be highly organised with the ability to work with changing priorities and time pressures.
  • Be motivated with the ability to work independently and in a team environment.
  • Have a pro-active, self-starting and problem-solving attitude, including paying attention to detail and monitoring project progress.
  • Have experience working on supporting and building multi-stakeholder partnerships..
  • Have experience of preparing briefings, event coordination and supports to stakeholder management
  • Have strong written and oral communication skills with the ability to communicate effectively with people from different cultures and backgrounds.
  • Have experience of administrative or finance processes and excellent numerical skills
  • Competency in Word, Teams, Outlook and Excel.
  • Fluency in English.
  • Interest in or recent experience of work or study related to Ukraine, Moldova, and Georgia – particularly if including relevant language skills - would be a significant advantage.
  • Prior experience of working in media development, journalism and/or international development would be an advantage.
  • Experience of working with and maintaining databases (e.g. Salesforce) would be an advantage.
