Project Coordinator – Twig Science

Role: Project Coordinator- Twig Science
Location: Glasgow/ Hybrid
Reports to: Head of Project Management, but report day-to-day to the Senior Project Manager (Twig Science).

Salary: circa £26,000–£29,000 DOE
Duration: 12 months Fixed- Term Contract

Summary Description
We are looking for a dynamic Project Coordinator to join our Project Management Office.The role will suit a self-motivated individual, who is analytical, proactive and organised, with excellent communication skills.
Working alongside the Senior Project Manager (Twig Science), you will be responsible for the smooth organisation of multiple projects for our Twig Science product roadmap. You will be working with all departments across the business and will be central to ensuring clear and consistent use of project management processes to communicate workflows, dependencies, status, and change – creating excellent communication between the different teams.
Under guidance from the Head of Project Management and Senior Project Manager (Twig Science), you will be responsible for implementing and upholding all aspects of project governance in order to ensure requirements, status and process and are clear, transparent, accessible and appropriate for all stakeholders at all times.
Applicants should have solid and demonstrable previous experience in a similar role.
Key tasks and responsibilities include:
- Maintain project systems and protocols to agreed project governance including:
- file naming
- folder structures
- meeting management – agendas, notes, actions, follow ups
- create and maintain project documentation according to agreed templates (e.g., Project Brief, Change Log, work breakdowns, Schedule, RAID etc.)
- tracking project spend where appropriate
- engage with resources to understand their progress with tasks
- Be first port of call for:
- project management process questions
- providing appropriate onboarding / training / support for any new stakeholders or resources coming onto a project and interacting with PM systems
- handling requests for new documents / information / folders
- create and maintain central filing system for all project related documentation from all departments
- Report and escalate issues to the Senior Project Manager and/or relevant stakeholders including:
- status reports/updates
- change in scope or schedule
- risk to schedule, budget or quality
- Work with the Senior Project Manager to:
- use workflow to create schedules and predict resource needs
- update and maintain workflows and work breakdown structure documentation
- seek process improvements
- implement improvements to systems and protocols
- gather requirements from stakeholders
- create and define plans to identify tasks, deliverables, milestones, and resourcing
requirements as required
- use planning and processes to ensure maximum efficiency of resource usage
- monitor timelines and communicate any issues to senior stakeholders
- Define and manage small projects with oversight from the Senior Project Manager
- Work with the Editorial and Design teams to assist with resource planning and prioritisation
Essential Skills & Experience:
- Educated to degree level.
- At least 3 years experience in a similar role.
- Demonstrable experience in use of project management software and processes (e.g., Asana, Smartsheet, Monday etc.)
- Advanced use of spreadsheets for project management purposes.
- Experience of working in publishing or a multi-media environment.

- Actively contributing to the solution-focused, collaborative culture of Twig Education, driving synergy and understanding between departments and teams.
