Job description
We are seeking an enthusiastic and versatile Document Controller / Project Coordinator to join our dynamic team. You will play a crucial role in supporting active projects, internal productions, events, and daily tasks, while also providing assistance to our directors in their day-to-day duties. We are looking for a candidate who can not only handle project coordination but also brings an understanding of design methodologies.
Responsibilities:
- Establish and maintain a comprehensive document control system, ensuring all files are appropriately categorised, version-controlled, and easily accessible to authorised personnel.
- Receive, record, and distribute incoming documents, both electronically and in hard copy, to relevant departments or individuals.
- Review documents for accuracy, completeness, and compliance with company standards before archiving or distribution.
- Collaborate with project teams to ensure all documentation, including drawings, contracts, specifications, and reports, is properly managed throughout the project lifecycle.
- Assist in preparing and organising project-related documents for presentations, meetings, and audits.
- Work closely with internal teams and external clients to coordinate the flow of documentation and ensure timely submission and approval processes.
- Implement and maintain document control procedures, ensuring they align with industry standards and best practices.
- Support directors and project managers in administrative tasks, including scheduling meetings, taking minutes, and organising travel arrangements.
- Coordinate and support the management of various projects, from inception to completion, ensuring all tasks are executed effectively and on schedule.
- Collaborate with cross-functional teams and communicate with both in-house design teams and external clients during all phases of production.
- Assist in developing and executing project plans, ensuring that the design elements align with the overall design motion.
Your Skills:
- Proven experience as a Document Controller or in a related administrative role.
- Familiarity with document management software and tools, such as SharePoint, Documentum, Aconex,or similar systems.
- Strong attention to detail and excellent organisational skills to manage a high volume of documents efficiently.
- Experience with project management software and tools (e.g., Microsoft Project, Asana, Trello).
- Ability to work in a fast-paced environment, prioritise tasks, and adapt to changing project needs.
- Knowledge of project management principles and methodologies.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in using office productivity tools, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Understanding of design methodologies, CAD, Revit, and BIM will be advantageous but not mandatory.
- Excellent communication skills, both written and verbal, to interact with stakeholders at all levels.
- A proactive and flexible attitude, willing to adapt to changing project needs and deadlines.
- Ability to work independently and collaboratively within a team environment.
Bonus Skills:
- Background in technical production, interior design, themed entertainment, or theatrical industries will be considered a plus.
- Strong understanding of narrative principles for storytelling purposes.
- Passion for themed entertainment and digital immersive experiences.
- Familiarity with Adobe Creative Suite.
