Job Title: Projects Coordinator

Position: Full Time

Hours: 08.30hrs to 17.00hrs with an hour for lunch.

Based: Head Office, Sevenoaks, Kent

Holiday Entitlement – Pro Rata – 25 Days a year 3 days are to be kept for Christmas and New Year

An exciting opportunity has arisen to join a Kent based company that have a new opening for a Projects Coordinator to join our dynamic team reporting into the Company Directors.

We are a fast growing and established company within the BMS/Energy Sector working with numerous blue-chip clients. A key part of our development strategy is to continuously supplement the team with key people to allow us to enhance our service offering and assist the business in future growth.

We want to break the mould by moving away from the traditional approach by establishing new and improved ways of working but still delivering on Client’s expectations. Therefore, the candidate should share our vision of wanting to grow within the business and with the view of being part of their long-term career plan. Working within a small and dynamic team, you will be required to carry out a varied and exciting role for existing and new Clients.

A previous background in the building services industry/utilities would be preferred or contracting. However, candidates will be considered from other sectors especially those with an analytical and business management background. The candidate should want to work within the field of control and energy efficiency from an environmental perspective or show an aptitude to learn. Full training and support will be provided to the right candidate.

The candidate will be working on various projects and solutions across the business assisting in project administration and coordination activities.

General

  • Greeting visitors, answering telephone, and directing or dealing with any queries that in relation to project related matters.
  • Assisting and Supporting the Technical Director and Project Team.
  • Working with various Microsoft packages and the Companies email system.
  • Engaging with various project team members for collaboration.
  • Liaising with Clients, Suppliers and Sub-Contractors via email/phone/TEAMS.
  • Liaising with accounts and being responsible for placing orders with suppliers or sub-contractors.
  • Filing/scanning/photocopying.
  • Checking incoming deliveries against orders placed/invoices received, stock inventory.
  • Assisting with external Pre-Qualification Questionnaires and Trade bodies.
  • Attend post office and take any parcels that require sending to the various parties.

Project Support

  • Assisting in projects from conception to completion.
  • Responsible for the project coordination on a specific Food Retail contract.
  • Consulting with various stakeholders: Client, Sub Contractor, Suppliers, and team members.
  • Assisting the project team in the production of RAMS, signing, filing, and ensuring all documentation has been issued and received back from Staff, Clients, and Sub Contractors.
  • Coordination of engineers on site and the ensuring they have all the equipment and job sheets.
  • Ensuring that the engineers have equipment to undertake installations.
  • Producing of job sheets and issuing out to the relevant parties.
  • Process information received from the various projects and making sure it is actioned in a timely manner.
  • Updating of project trackers for internal/external purposes.
  • RFI trackers for each project are to be produced and maintained. R- Request, F- For, I- Information
  • Providing updates internally or externally on project activities.
  • Composing reports, collation of project information, fact finding, problem solving.
  • Maintaining the company Health and Safety Sub Contractor matrix to ensure all relevant information is up to date and not expired.
  • Updating the Company Staff Health and Safety Training Matrix and flagging to members of staff what training is coming up for renewal and ensure this is actioned by them and completed. All documentation to be saved within the appropriate folders and labelled correctly.
  • Ensure filing system is maintained on the Company server as per ISO requirements.
  • Participation in meetings, TEAMS/ZOOM conference calls, attendance to site/clients premises as and when required.

The candidate should be able to work in a fast-paced environment and can absorb new information quickly. Methodical. Process driven. Analytical or enquiring mindset - not necessarily technically minded or a spreadsheet genius but demonstrate the ability to think critically about a problem or to look at a set of information and ask pertinent questions to understand it. Ability to digest and process information and focus on key points. Good attention to detail. Ability to stay focussed on a task.

Great communication skills and the ability to present information in a concise manner are among the key attributes.

The candidate should be articulate, able to express ideas clearly and concisely, and has a good level of written English which is a key requirement when communicating with clients and contractors alike but also present a positive 'public image’ for Cura.

Demonstrate a structured approach and set out information as required (whether in an email or report) showing attention to detail.

Verbal communication skills - good telephone manner, courtesy, having the right tone when dealing with a client or contractor.

Work ethic - a positive attitude and a desire to get things done. The candidate should be conscientious, industrious, and willing to apply themselves to a task.

Education - We require the candidate to demonstrate a good level of educational achievement and commitment.

Training: Individual Training Programme provided. This includes training regarding the solutions and products that we install as a business.

What do we need from you to be successful in this role?

  • Minimum qualifications are GCSE/A Level or Equivalent.
  • Project management or project coordination experience preferred.
  • Previous experience in consulting with engineers, sub-contractors, or main contractors.
  • Health and Safety Awareness and associated documentation.
  • A creative mind with an ability to suggest improvements.
  • Strong organizational and planning skills in a demanding environment.
  • The ability to work as part of a team and individually.
  • Accuracy and an eye for detail is essential.
  • The ability to work to strict deadlines.
  • Motivated and can work in face pace environment.
  • Excellent computer skills – Excel, Word, Emails etc.
  • Excellent communication skills.
  • Efficient in the use of all Microsoft packages i.e., word, excel, PowerPoint
  • Full clean driving license.

Salary: £22,877.97-£32,448.72 per year
