Job Purpose
The Scottish Universities Life Science Alliance (SULSA) works across universities, industry and policy makers to support and enhance research and innovation excellence in Scotland’s life science sector. Working within SULSA the post holder will provide project administration support to the SULSA team on three key projects:
1. Graduate Employability Masterclasses, a national employability program across 13 universities taught by 30 companies per year.
2. Roll out of a Virtual Reality training module codesigned with Merck Bioreliance across SULSA members
3. SULSA’s Forging Futures, a program that creates a cohort of Industry Engagement Ambassadors across SULSA members
The post holder will also provide administrative support on general SULSA activities including events, meetings, communications, and reporting.
Main Duties and Responsibilities
1. Liaise with university, industry, and public sector partners to support the project design and delivery of industry-led masterclasses across 13 universities.
2. Provide project administration support for the roll out of VR training in cell culture, making it accessible to our members, this will include management of bookings and equipment transport as well as evaluation of progress.
3. Attend multi-organisation stakeholder meetings, take minutes, and disseminate to the attendees. Set up further meetings as required.
4. Create and manage feedback surveys for users, considering the specific requirements dependent on the user, to generate impactful data to present to various audiences
5. Analyse and interpret data from events and surveys and generate reports to be shared with members and stakeholders, using care to follow GDPR procedures.
6. Support the SULSA team in the creation and running of events, this will include effective use and management of online platforms, contacting vendors and promoting the event.
7. Provide administrative support in SULSA communications including the generation of a monthly newsletter.
8. As part of the SULSA team, bring new ideas that align with SULSA’s objectives, with the opportunity to lead on small projects.
9. Support the SULSA team in maintaining and strengthening partner relationships through effective communication, with professionalism and enthusiasm for SULSA’s vision.

11. Duties of the post outlined are not exhaustive, and the postholder will be expected to be co-operative and flexible, undertaking such other duties as may be reasonably expected by management. The duties of the post will be subject to review in line with changing requirements, both internal and external.
Qualifications
Essential:
A1 Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent
Or
Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills through personal development and progression in a similar related role(s).
Knowledge and Skills
Essential:
C1. Excellent proactive organisational skills and a proven ability to prioritise work efficiently with the ability to multi-task and cope with unplanned interruptions and tight deadlines.
C2. Excellent verbal communication and interpersonal skills, demonstrating tact, diplomacy, and assertiveness to build excellent relationships with students and colleagues at all levels.
C3. Ability to work discreetly and sensitively, when dealing with challenging situations.
C4. Excellent IT skills, including experience in relevant software packages such as Excel, Word and Powerpoint, use of Zoom, Teams and document sharing platforms such as Google Drive.
C5. Ability to communicate effectively in writing, to a high standard, for the purposes of producing public facing documentation, correspondence, and content for online platforms.
C6. Proven capability of working autonomously and proactively using own initiative to resolve problems, consulting with senior colleagues as appropriate.
C7. Proven ability to work to and within deadlines, managing a number of complex tasks and processes simultaneously, to a high degree of accuracy.
C8. Demonstrable experience of clerking committees, producing accurate minutes of meetings and following up on action points.
Desirable
D1 Understanding of University structures, policies and procedures.
D2 Understanding of life sciences or other STEM subject.
D3 Ability to travel around Scotland on occasion for events.
Experience
Essential:
E1 Relevant administrative experience gained in a similar role.
E2 Experience of tracking and reporting on project progress.
Other Information
This is a part time post, 21 hours per week, with funding available for one year initially with likelihood of an additional year.
Ideal candidate will have qualification(s) or experience in administrative work and co-ordinating the delivery of projects across multiple stakeholders with a background or keen interest in the Scottish life sciences or wider sciences sector. This is an ideal position for those interested in collaborative research and development, research innovation and excellence, or policy. This role will provide training and support for the candidate and open a wide network of opportunities through working collaboratively with universities, industry, and the public sector.
The SULSA team works from home 3 days a week with 2 days a week based in the Wohl Wolfson Cancer Research Centre, Garscube Campus, Glasgow. Ideal work pattern would include a Monday and Thursday in the office and additional day from home, but this can be discussed if not suitable.
Terms and Conditions
Salary will be Grade 6, £31,502 - £35,308 per annum pro rata.
This post is part-time (21 hours per week), and open ended with funding available for up to 1 year in the first instance.
