Job description
To provide administrative business support for the operational project leads, site, work winning, commercial and design teams within the BB Ground Engineering Core Business. Experience in construction is essential/Preferred.
What you'll be doing
Undertake a full range of business support administrative duties to ensure an efficient service is delivered.
Screen incoming electronic mailboxes, on behalf of the teams and manage all appropriate correspondence and actions.
Log new enquiries to the relevant digital platform in preparation for assessment for pricing and quotations to customers for foundation piling. Preparation of Stage Gate presentations for Head of Pre-Construction and the Work Winning Teams.
Arrange and attend team meetings/conferences and project reviews. Taking minutes and ensure appropriate facilities are organised (meeting room allocations etc).
Ad-hoc confidential minute taking.
Maintain accurate, secure paperless, electronic filing systems and archiving. Perform general office duties such as ordering general office supplies and maintaining project records and documentation.
Retrieve and record daily production data from our BIM360 digital platform, daily. Recording all delays and collate daily report and distribute to relevant heads of departments and senior members of the business.
Maintain Digital Business Platforms CRM, Digital Briefcase, BIM360, SharePoint and Mosaic ensuring quality performance statistics are being achieved in Power BI.
Proficient understanding of Microsoft Teams, Microsoft Office and Excel.
Record actions of Monthly Project Reviews and Health and Safety Calls.
Prepare prequalification questionnaires and Operations and Maintenance Manuals as and when required.
Ordering of ‘personal protective clothing and equipment’ for site project teams and all other core business teams, in accordance with Balfour Beatty Health and Safety Policies with accurate cost recording.
Arranging travel, flights, hotels, trains for project teams and senior management for the Ground Engineering Core Business.
Ability to work to fast paced and ever-changing deadlines.
Who we're looking for
The ideal candidate must have experience within construction and have a self-driven attitude and show the ability to use his/her initiative for everyday tasks and be able to work well under pressure.
A thorough knowledge of Microsoft Office, including Word, Excel, Outlook.
Ability to maintain a high level of confidentiality and discretion always, using a high level of integrity.
Good telephone manner.
Strong organisational, time management and workload prioritisation skills.
Attention to detail and accuracy.
Work well within a team environment but also capable of working without supervision.
Enthusiastic and proactive with a willingness to learn.
Organised and work well under pressure.
Experience of administration in a busy fast paced environment with a good knowledge and understanding of Business Support Administration duties.
