Education Studies is seeking to appoint an experienced administrator to support the teaching and research programmes within the department. The Programmes Office is a busy hub providing online and face to face support to students and staff. You will be an enthusiastic, self-motivated individual to provide administrative support for our degree courses. The post will work flexibly across all programmes depending on the programme needs, typically being responsible for a portfolio of modules. The post will be varied throughout the academic year from module registration, assessments, feedback, examinations and student enquiries.
You will possess excellent communication, interpersonal and IT skills with a strong customer service ethos. You will have a demonstrated ability to use your initiative and work autonomously whilst also being a highly organised team member, having the ability to manage a varied and demanding workload to deadlines. You will also need to have a head for figures and great attention to detail, as the role will involve processing student marks, upkeep of student records, as well as working to improve the student experience. You will need strong interpersonal skills to build professional relationships and interact effectively with a wide range of individuals, including UG, PGT and PhD students, academic colleagues and external agencies. You will act with tact and discretion at all times.

Job Description
Responsible for the provision of high quality administrative support to the department through the administration of degree programmes. Working as part of a team or independently, the role will support all degree programmes with the expansion of the department’s programmes, with a core portfolio of Postgraduate Taught modules. The below Duties and Responsibilities (jointly or independently) cover all programmes with some details relating to the postgraduate programmes only.
DUTIES & RESPONSIBILITIES
Course Administration
- Point of contact for current undergraduate and postgraduate students, prospective candidates and alumni including managing queries, pre-arrival information and providing advice and instruction in areas such as opportunities and funding.
- Maintain student records and databases in line with University quality control, record archiving, information security policies and Data Protection legislation.
- Monitor attendance and engagement monitoring to meet UKVI requirements
- Be responsible for the update of content management for Moodle/web pages, including contributing to the updating of the online handbooks in conjunction with the other Programme Officers and appropriate staff.
- Liaise with staff across the University involved in student support, including the DTC, Doctoral College, Academic Office, the International Office, Student Records, the Library and other academic and administrative departments.
- Contribute towards organising induction events, open days, graduation and other events to enhance the student experience.
- Monitor, evaluate and analyse completion rates to provide input into departmental strategy reviews and keep up to date records of supervisor workloads to feed into the department’s workload model.
- Provide, and disseminate where required, specialist student advice regarding University rules and regulations, and operational management across the department, liaising with staff at all levels.
- Provide advice and support to students experiencing either academic or personal difficulties. Ensure that the appropriate records are kept, documents are gathered and the student is referred to the appropriate source of support available within the University. Ensure that relevant members of staff are notified.
- Contribute to the design, and updating of the department’s teaching timetable
Assessment Management
- Responsibility for all the aspects of assessments, (including module registration), and mark recording/processing relating to a number of courses. Liaising with Examinations Office where appropriate
- Liaison with internal and external stakeholders through the joint coordination of viva processes. To prepare and supply all relevant documentation, timetables and arrangements for this process
- Ensuring that all relevant information is made available to (and received from) academic and administrative departments by the required deadline.
- Liaison with external stakeholders such as External Examiners, including collation of assessment results and samples for external examining.
Applications and Admissions Support
- Support the central Admissions Team with queries relating to the processing of postgraduate admission applications in a smooth and professional manner.
- Share the responsibility of the department resource email account with queries from prospective students.
Other Duties
- Collaborate with colleagues across the faculty/campus to improve, simplify and deliver departmental processes and procedures.
- Take minutes at department committee meetings as required.
- Work as part of the team to ensure effective and professional course administration.
- Support the furtherance of good academic practice within Education Studies, including administration for the investigation of suspected cheating, working closely with Department Administrator
- Respond to enquiries from stakeholders on general matters including monitoring resource email accounts.
Any other duties commensurate with the grade as deemed reasonable by the line manager.
