Job Purpose
The role of the PMO Coordinator is critical to the successful delivery of IT Services and IT Projects. This role will report into the Head of Service Delivery within our DES IT department and the PMO Lead will work closely with Service Delivery Managers and Project Managers.
Key Accountabilities
- Creation of structured documents, including performance dashboards and project plans in conjunction with Project Managers and workstream leaders, in line with project objectives & timelines
- Work with Key Account Managers to support Service Reporting (SLAs & KPI reports) on a monthly basis
- Working with colleagues in different departments to organise and collate project documentation in line with company standards
- Operational & Project RAID Log management, including identifying risks and issues and working with colleagues to manage mitigating actions to completion
- Management of high-quality project document sets to ensure they are completed and kept up to date in line with company standards Governance
- Work with project managers and colleagues across the business to track progress against key deliverables
- Creation of internal and external reports
- Highlight RAID items to company and project management as needed to ensure risk is mitigated and issues are resolved
- Management of project dashboards across the company-wide project portfolio Process & Standards Improvement
- Support project managers in the completion of lessons learned reviews post implementation and manage actions through to completion
- Work with the Head of Projects to continuously review and improve project management and delivery process & practice Implementation & Service Support
- Work with project managers to complete cost tracking against project budgets, including weekly reporting on project spend
- Work with various service delivery and project stakeholders (internal & external) to support in scheduling of project meetings
- Other administration activities as required in order to ensure project & operational excellence
Skills
Knowledge / Experience
Strong experience in a project coordinator or PMO role
Thorough understanding of the principles of IT service delivery and project delivery
Very familiar with all MS Office suite
Ability to engage and learn the use of new software tools to manage the delivery
Good communicator with ability to provide detailed and concise progress reporting internally and to the customer
Experience in customer facing environment
Good project management skills, especially project planning and reporting
Knowledge in project management methodology
Knowledge in project management tools
Broad understanding of the key performances and business value chain
Industry experience knowledge
Good analytical skills with the ability to manage complex problems and issues and soundly balanced commercial judgement
Ability to clearly articulate messages to a variety of audiences
Resilient and tenacious with a propensity to persevere
