Job description

BASIC FUNCTION:
The Program Coordinator for Recruitment and Compliance provides program support to the program staff regarding outreach, recruitment, support for fellowship logistics and programming, fellows’ compliance with program obligations, and the overall administration of the Pickering Program.
There is minimal responsibility and authority for the direction of others.
The Program Coordinator will engage with internal contacts including staff of the University as well as external contacts, potential applicants, the sponsor agency representatives, and non-governmental organizations professionals.
SUPERVISORY ACCOUNTABILITY:
Involves no responsibility or authority for the direction of others.
NATURE AND SCOPE:
Internal contacts include staff and fellows. External contacts include government agencies, sponsor representatives, vendors, visitors, officials, and the general public.
PRINCIPAL ACCOUNTABILITIES:
Graduate Fellowship Compliance and Data Management (50%)
  • Collects, monitors, and regularly reports on fellows’ program compliance data as well as updating and maintaining Fellow files (offline and online).
  • Assists in the completion of quarterly and annual program reports.
  • Facilitate travel requests for current Pickering Fellows completing program obligations.
Pickering Graduate Summer Programming (25%)
  • Coordinate fellowship summer orientation including travel and housing accommodations for new Pickering Fellow.
  • Support Program Manager with overall planning and execution of Pickering Fellow Orientation
  • Interface with high-level speakers from the Department of State, Congress, and other communities to coordinate presentation and event logistics. This includes managing schedules, technology, surveys, and other activities to ensure programming success.
  • Develop and analyze surveys to capture feedback from Fellows.
Recruitment for Graduate Fellowship and Summer Enrichment Program (15%)
  • Provides administrative and program management assistance for outreach and recruiting for fellows and scholars.
  • Prepares and maintains external contacts’ databases, and distributes information through mail-outs, press releases, and e-mails contacts. Helps prepare recruiting presentations using different software and media.
  • Arranges information sessions, both in-person and virtual.
  • Works closely with the communications Coordinator to produce promotional materials.
  • Proofreads, edits marketing and recruitment materials, reports, and public-facing assets (website, social media, etc.).
Program Administration (10%)
  • Facilitate Pickering team meetings. This includes preparing agendas in advance, launching the zoom, taking notes, and communicating tasks with Pickering Program staff.
  • Oversee incoming inquiries to the Pickering Program by way of email and phone.
  • Update the Pickering program website and, where appropriate work closely with the communications Coordinator to ensure branding standards are met.
  • Supports the selection process of the Graduate Fellowship and Summer Enrichment Program
CORE COMPETENCIES:
  • Proficient in generating reports from data collected via Microsoft (Word, Excel, PowerPoint, Access), Qualtrics, and/or other data collection systems.
  • Attention to detail with the ability to prioritize tasks, follow through on assigned projects, and meet deadlines.
  • Excellent writing skills with a demonstrated ability to write correspondence, reports, guidelines, and instructions.
  • Strong oral communication skills with the ability to communicate effectively with a diverse population, and establish and maintain effective work relations with faculty, staff, students, and general public.
  • Team player who can solicit ideas and feedback and work collaboratively with others. Ability to exercise discretion and ensure a high-level of confidentiality.
MINIMUM REQUIREMENTS:
Bachelor’s Degree and 1-3 years of related work experience. 8 years of related work experience may be substituted in lieu of educational qualifications. While this program is primarily hybrid, all employees of the Pickering program are expected to be physically in the Washington DC Metro area, including Maryland and Virginia.
