Job description
The role of the Procurement Systems and Information Assistant is to support the Procurement Systems and Information Manager to assist colleagues in the efficient processing of data and providing reports as required. The ability to identify, extract and manipulate data will be instrumental to the role as will the ability to provide the information in the most effective format for the request.
The post holder will also be expected to develop and deliver training sessions to others on the use of procurement systems including but not limited to, the eProcurement system, supplier representative management system and the electronic Inventory Management system. It is expected that the data generated by the procurement systems will be analysed and turned into information to drive improvement such as providing standardisation and rationalisation opportunities.
The role of the Procurement Systems and Information Assistant requires the individual to work with others but also autonomously at times. The post holder is also expected to contribute to the sharing of best practice within the Procurement department so that both internal and external data sources are engaged in an effective and consistent way.
- Proactively and consistently ensure that an effective and efficient procurement service is provided that is compliant with the Trust Governance Framework Manual and Procurement legislation.
- Deliver social and environmental objectives, including working towards net zero and better environmental and social outcomes in procurement.
- The post holder is expected to produce consistent, clear, and timely reports on both a recurring and ad hoc basis.
- Through the provision, interpretation and communication of data, support procurement colleagues to improve business processes, aid product standardisation and enhance service developments.
- Share information, present data as information and lead on communications within the department, across the organisation and beyond.
- Monitor purchasing trends across the Trust, to develop category knowledge, aid the collation of market intelligence and identify savings and better practice opportunities across a range of projects
- Provide support, guidance and training to procurement colleagues and end users on procurement systems.
- Support the department with the implementation of GS1 standards working with operational sub-groups to develop systems and processes which support the delivery of Scan 4 Safety.
- Present the procurement function as a progressive, proactive, responsive and innovative department and ensure that an effective and efficient procurement service is provided to all end-users.
