Job description
This role will be Hybrid with a minimum of 2 days in the office.
- Coordinate the RFQ process by liaising with internal stakeholders and suppliers to gather necessary information and documentation.
- Prepare RFQ packages, ensuring accuracy and completeness of all required specifications, drawings, and other relevant details.
- Distribute RFQ packages to suppliers and manage the communication flow, addressing queries and clarifications as needed.
- Monitor and track RFQ progress, ensuring timely responses from suppliers and adherence to project timelines.
- Consolidate and evaluate supplier quotations, analysing pricing, lead times, quality, and other factors to support decision-making.
- Collaborate with cross-functional teams to review and compare supplier proposals, facilitating the selection of the most suitable vendors.
- Develop and maintain positive relationships with suppliers, serving as the primary point of contact for RFQ-related communication.
- Collaborate with the procurement team to assess supplier capabilities, performance, and compliance with contractual obligations.
- Support negotiations with suppliers, assisting in obtaining favourable terms, pricing, and contract agreements.
- Identify opportunities for process improvements within the RFQ and supply chain administrative functions, proposing and implementing solutions to enhance efficiency and effectiveness.
- Provide general administrative support to the supply chain team, including maintaining accurate records, filing documents, and organizing meetings and appointments.
- Assist in the preparation of reports, presentations, and other documentation related to supply chain activities.
- Coordinate logistics for shipments and deliveries, ensuring accurate documentation and compliance with regulations.
- Monitor supplier performance metrics, such as on-time delivery, quality, and responsiveness, and provide feedback to suppliers when necessary.
- Assist in inventory management tasks, including data entry, stock reconciliation, and monitoring of stock levels.
- Strong understanding of supply chain principles, including procurement, sourcing, and logistics.
- Proven experience in coordinating RFQs and managing supplier relationships within a manufacturing or supply chain environment.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously and meet deadlines.
- Proficient in using MS Office applications – Advanced proficiency in Excel, including a strong understanding of formulas, data analysis, pivot tables, VLOOKUP, and other relevant functions.
- Experience in creating and managing complex spreadsheets, data manipulation, and generating reports using Excel.
- Ability to analyse data effectively, identify trends, and present findings in a clear and concise manner using Excel.
