Purpose
The prime role of the Legal Assistant is to provide support to the department to enable the Fee Earner to operate at optimum efficiency. The Assistant is expected to use a high degree of self-management and initiative, whilst communicating effectively with partners, colleagues and clients.
Person Specification and requirements
- Experience in assisting within a legal practice, in particular within a Private Client department.
- Strong word-processing with a working knowledge of Microsoft 365 packages.
- Excellent communication skills.
- Excellent attention to detail with the ability to maintain accuracy whilst working at a fast pace.
- Strong time-management and ability to prioritise own workload.
- Pro-active and ‘can do’ attitude.
- Knowledge and experience of Lexcel Compliance would be advantageous.
Key Responsibilities
- Actively work towards individual and departmental targets and objectives as set by HOD.
- Provide administrative/secretarial support to the Firm in a fast-paced environment.
- Prepare correspondence and documents through word processing and audiotyping using BigHand digital dictation.
- Ensure vital documents are returned by other professionals and clients in a timely manner (TOBs, LPA, GOP, COP).
- Assist in drafting wills.
- Responsible for Will and Deed Store and maintaining the same.
- Prepare standard documentation, answers to routine letters, legal documents, and court applications.
- Responsible for managing new enquiry spreadsheet.
- Responsible for managing court diaries.
- Post-file closure procedure.
- Responsible for creating quotations.
- Organise and maintain client files in line with Lexcel standards.
- Monitoring, actioning, and updating various electronic portals.
- Retrieving, archiving, and manually filing confidential client information.
- Schedule and confirm appointments for clients and employees.
- Attend meetings with clients to take basic instructions.
- Attend court hearings and pre-proceeding meetings.
- Liaise with clients both in person, email and on the telephone to provide such support in a professional and friendly manner in keeping with the firm’s standards for client care.
- Provide support to other assistants and/or fee earners as required, including providing guidance to junior employees when required to do so.
- Adhere to process and procedures as directed by the HOD.
- Undertake specific training when required and have overall responsibility towards self-development.
- Be actively involved in ensuring compliance in Lexcel and other standards.
- Ensure the confidentiality of all the firm’s and client’s documentation and information by complying with GDPR.
- Be actively involved in business development activities and networking.
- Undertake any other duties as required by the Directors as necessary for other fee earners and employees.
