To provide professional management on a day-to-day operational basis with responsibility for the provision of a range of Facilities services which includes Portering and Security but not limited to.
The post holder will have responsibility for ensuring the seamless delivery of Facilities services enabling the provision of safe quality patient care.
The Portering & Security Manager is responsibility for ensuring the delivery of Facilities Hotel Services provision across the NGH site which comprises circa 700 beds spread across a range of specialities.
Provision of Facilities Hotel Services includes but is not limited to patient and retail catering, domestic services, portering, transport, cashiering services, security and a range of general site management aspects (both internally and externally) covering clinical and non-clinical areas.
The post holder will undertake a wide range of site management related functions and will be the primary senior contact for Portering and Security interface with clinical staff, patients and visitors on a day to day basis.

To be responsible for the provision of a high standard of service to service users in line with Trust’s policies and departmental procedures.
Ensure services provision compliance with all statutory & legislative standards and local & national policy, protocol and procedure – e.g. National Cleaning standards, local Infection Control Guidance etc.
Maintain a high profile presence acting as the primary Portering and Security interface on a day to day basis with Facilities colleagues, clinical staff, patients and visitors.
To develop and maintain inter-departmental relationships through regular support and direction of portering and security supervisors and staff.
To ensure all users, are competent, safe and suitably trained, with the usage of all equipment within the departments.
Effective supervision and allocation, and where required reallocation, of work to staff within the portering and security teams, utilising the resources available both short term and long term.
To monitor the quality of Portering, Security Services through quality control, audits and user satisfaction audits.
To ensure operational compliance with the Trusts policy on waste management.
Provide non-clinical advice and information and ancillary services directly to patients, staff and visitors. At all times having a “customer facing focus” delivery for departments and the Facilities Directorate as a whole.
Assist in development of (in conjunction with the Head of Hotel Services (Portering, Security, Car Parking and Travel Office)) policies when required to meet the everchanging needs of the service. Implement changes and support policy development within the areas of your responsibility.
Assist with setting yearly objectives, in conjunction with the Head of Hotel Services (Portering, Security, Car Parking and Travel Office), to improve department’s efficiency reporting monitoring and delivering agreed objectives.
To deputise for the Head of Hotel Services (Portering, Security Travel and Car Parking) during their absence.
Use CCTV monitoring equipment in line with current legislation and in order to improve security of the hospital and provide evidence to outside agencies where necessary. Ensure security supervisors and officers comply with the appropriate policies and legislation regarding CCTV usage and practices. Liaise with police and identify
improvements for organisation wide security measures, Ensure consistent and accurate Datix recording in the event of any incident or accident occurring.
Lead by example and provide effective leadership, communication, motivation and support for all portering and security staff.
To ensure that appropriate personnel files and policies are maintained throughout the Department.
To ensure all staff are in uniform as per departmental dress code and maintain high standards of personal hygiene.
To plan rotas and work schedules for Portering and Security staff including bank and agency staff
Monitor staff attendance and performance; undertake return to work interviews and performance management meetings following the Trusts policies.
Advise the Head of Hotel Services (Portering, Security, Car Parking and Travel Office) on any concerns regarding staff and the delivery of services across the two departments.
To undertake investigations under the direction of the Head of Hotel Services (Portering, Security, Car Parking and Travel Office)
To undertake staff appraisals, to ensure, with the supervisors input, in a timely manner, develop ‘Personal Development Plans’ (PDP’s) and achieve Trust appraisal and mandatory training targets.
To participate in the process of recruitment and in accordance with the Trusts policies.
To identify training needs, agreeing with the Head of Hotel Services (Portering, Security, Car Parking and Travel Office) the training programmes including personal attendance and support to departmental / Trust training.
Respond to unpredictable work patterns, changing staff allocation as required, to meet the needs of the service.
To ensure full adherence to the Trusts health and Safety policies ensuring full compliance by supervisors and staff to safe working methods and practices, providing appropriate training where required.
To maintain good employee relationships and a positive working environment for staff.
To be responsible for the production, maintenance, and action of records and information as may be required and taking appropriate action.to ensure effective service provision and efficient use of resources by utilising IT management systems
Compile service specific financial and performance related reports associated with budgetary management and service delivery benchmarking, Quarterly data submissions, Departmental weekly/monthly performance summaries.
Ensure effective use of performance data to improve operational efficiency of the portering and security teams to consistent high quality service.
Provide monthly ‘Key performance Indicator’s’ (KPI’s) reports in conjunction with the Head of Hotel Services (Portering, Security, Car Parking and Travel Office) which identify productivity results and improvements.
Responsible to the Head of Hotel Services (Portering, Security, Car Parking and Travel Office) to ensure that cost parameters are not exceeded for pay and non-pay to the overall budget requirements of both Portering and Security Services. The post holder will contribute to the budget setting process and to identify recurring / non-ecurring non pay services items to the Head of Hotel Services (Portering, Security, Car Parking and Travel Office)to raise appropriate requisitions in line with the Trusts procurement processes and ‘Standing Financial Instructions (SFI’s).
To utilise pay and non-pay resources effectively at all times reducing overtime to the minimum and identifying cost improvements where appropriate
To be responsible for the accurate completion and submission of the Trusts electronic rostering system for portering and security staff and timely completion ready for the Head of Hotel Services (Portering, Security, Car Parking and Travel Office) final authorisation.
Responsible for the physical assets of the department ensuring all equipment meets Health and Safety regulations and is effectively maintained. Maintain stock holding of uniforms and equipment (repairs and replacements) relevant to service provision, ensuring security and appropriate deployment of stock.
Communicate with patients, visitors and staff using a high standard of written, electronic and verbal communication skills
Communicate with all departments, reporting and reviewing regularly on the provision, planning and development of efficient and effective services.
Communicate effectively with other departments and organisations within the hospital, e.g. Health and Safety Officers, Training Officers, Risk Management, Trades Unions, all wards and Heads of Departments.
Communicate in the form of meetings, telephone discussions, e-mail, and other correspondence with various groups of people on both a local and national basis, including suppliers, external contractors and external organisations including Police, Ambulance Service, Fire Service, HSE.
Undertake risk assessments as and when required.
Ensure that operational challenges are addressed and make decisions on the best course of action to resolve the issue. Escalating operational challenges if a resolution cannot be found
Respond to any emergency incident promptly and efficiently, which may require making immediate decisions.
Any other duties (including participating in operational activities) as may be required from time to time to ensure adequate provision of service.
Ensuring appropriate support and professionalism is shown at all times to all patients, visitors and staff.
Direct support of clinical teams supporting patient care with responsive and timely service delivery.
Carry out Security training to staff within other Directorates.
To attend training courses as appropriate to both develop and maintain technical and management skills.
The post holder will be required to champion the Directorates environmental standards and initiatives.
The post holder will be expected to be flexible so that his/her role can change in line with the demands and expectations of the customer.
The nature of this post requires the post holder to frequently audit and supervise staff working throughout the Trust premises inside/outside and to encounter every area with varying conditions. Dirt smells noise bodily fluids violence and aggression for example.
This position carries an extremely important public relations role and the post holder will be expected to positively contribute to the development and maintenance of good public relations. It will be expected that the post holder will be a visible presence across the
Trust on a daily basis to ensure standards are being maintained.
