This role is an exciting opportunity for a Project Management Office Support Manager who will be positioned within the Global Audit transformation RADC Project Delivery programme, specifically, responsible for supporting the PMO Lead and the wider RADC Project Delivery Team within the RADC network.

The postholder will be expected to assist the PMO Lead in effectively managing the project plan, individual workstream plans ensuring the project is meeting objectives and progressing against milestones. This will be a varied role working and interacting with many stakeholders to support the delivery of the project.

Additionally, the postholder is expected to support with the ongoing development of the PMO processes for the programme, support programme delivery and resource planning, monitor project plans against key targets, documenting and, where possible, effectively manage dependencies. This candidate must also be diligent with raising any issues and risks to the PMO Lead.

Essential Duties & Responsibilities

  • Support the PMO Lead with the collation and reporting of the overall project and programme progress to ensure the plans are on target and key milestones are met and monitor critical paths.
  • Liaise with all workstream leads to ensure weekly project status reporting is provided in a timely manner.
  • Provide PMO challenge, support / help, advice, and guidance to the team and RADC workstreams where necessary.
  • Supporting the running of status reporting meetings with key owners including tracking and management of actions
  • Update and maintain on a weekly basis the programme project plan, including all progress against sprints and milestone objectives.
  • Engaging in the planning of the programme project plan on a quarterly basis, ensuring the appropriate milestones, timelines and details are captured.
  • Provide administrative support associated with all new workstream and programme lead requests.
  • Provide communication to the Project Lead on progress and status of all workstream actions and progress against milestones.
  • Manage the central documentation for the programme using SharePoint, ensuring documentation is stored in appropriate places and locations and subsequently maintaining a central log of all documents.
  • Provide ad-hoc reporting/documentation as requested by Project Lead and Workstream Leads.
  • Support with the development of new documentation and implementation of any project management software programme or tools.
  • Educate non PMO team members on appropriate PMO processes.
  • Support the PMO Lead in identifying positive and negative trends in the delivery of projects and interdependencies to ensure the team are all aligned.
  • Manage emails and respond in timely manner.
  • Maintain oversight of the project risks, proactively working with Workstream Leads to identify, monitor, update and escalate risks within our internal risk management software and report these to senior management and stakeholders.
  • Create well designed PowerPoint packs and tailor content to report to a variety of senior stakeholders.
  • Prepare various packs for meetings at both local and global level with senior executive audiences.
  • Document minutes from meetings with Senior Stakeholders and capture and maintain project actions.
  • Arrange meetings/calls at local and global level – multiple stakeholders including internal project and strategy meetings.
  • Plan and run weekly meetings, including preparing agendas, facilitating the meetings to keep on time and topic and ensure all minutes and actions are an accurate reflection of content discussed.
  • Take minutes of meetings at both local and global level ensuring accuracy and completeness and presented at senior levels.
  • Co-ordinate and plan the on-boarding of new team members, ensuring 1-1 introduction meetings are scheduled, and all admin completed.

  • Project Management qualification or functions such as Scrum master desirable
  • Strong PowerPoint writing skills with the ability to present in a confident and concise manner
  • Proactive, self-starter with the ability to hit the ground running
  • Practical structured approach to work and manage a suite of different tasks
  • Excellent organisational skills with the ability to multi-task
  • Able to work off own initiative, is proactive and able to work both independently and collaboratively to solve problems
  • Well-developed interpersonal skills
  • Strong team player and ability to build relationships quickly
  • Excellent communication skills with the ability to engage and challenge senior stakeholders where required
