As the pharmacy education and training team administrator you will provide a comprehensive, professional and confidential administrative and secretarial support service to the OUH (Oxford University Hospitals) NHS trust pharmacy education and training team.
The post holder will work closely with the education and training technicians and pharmacists, as well as the wider pharmacy team. This is a unique opportunity for someone to join this friendly and supportive team, to develop their administrative skills and gain experience working in the training and development of pharmacy staff. The Pharmacy Education and Training Team is a friendly and supportive team made up of 4 pharmacy technicians and 6 pharmacists. We aim to support the delivery of high quality training to equip the pharmacy team to provide excellent patient care at each stage of their careers. You will work closely with the education and training team but also with trainees including apprentices (pharmacy assistants and technicians) and trainee pharmacists as well as with the wider pharmacy team.
The post holder will provide daily administrative support including development, and implementation of administrative systems which will ensure the efficient and effective running of the pharmacy education and training team.
There is an expectation that the post holder will be able to work flexibly, responding to a range of different requests for support from the education and training team. The post will include working with the education and training team to support pharmacy assistants, technicians, and pharmacists in training.

Tasks and Responsibilities
The position will involve regular contact with trainee pharmacists, pharmacy technicians and apprentices, educational programme directors (trainee pharmacists), the education and training pharmacy team, pharmacy staff, managers, administrators, and external organisations.
The post holder will require excellent organisational abilities and communication skills, and a flexible approach and initiative in resolving problems, along with a consistently high professional approach.
The post holder will organise the administrative aspects of courses, study days and meetings: ensuring equipment, files and papers are available and up to date; making bookings for refreshments and rooms; corresponding with tutors, course members and pharmacy staff as appropriate; handling publicity, applications, production of handout materials, evaluations, and feedback as required.
Develop and maintain appropriate record keeping including learning contracts; trainees’ progress; course evaluation and feedback; study leave; labelling, dispensing and checking logs.
Provide support to the Educational Programme Directors (trainee pharmacists) by reviewing trainee annual leave and ensure appropriate records are maintained; obtaining feedback from rotations. To chase progress on all issues with appropriate managers as and when necessary, and ensure deadlines are met
To provide support to the team in co-ordinating recruitment tasks, including interviews and recruitment events, including putting together promotional materials as required.
To assist in coordinating education and training induction for new pharmacy staff.
To support communication of education and training resources within the department – including organising the production of a Pharmacy E&T bulletin.
To assist in data collection and analysis for research, audit, and quality improvement projects.
To maintain records of invoices and liaise with creditors regarding the processing of payment and cost , liaising with the trust CPD (Continuing Professional Development) department as required.
To signpost staff to information on relevant policies and procedures including wellbeing, study leave, annual leave, and travel arrangements.
