The Role
As a Personal Assistant (PA) to the Directors at Trustgreen, you will play a pivotal role in maintaining the smooth functioning of our executive team. This role may require occasional overnight stays to provide seamless support during business trips and off-site engagements. You will be responsible for managing administrative tasks, coordinating schedules, and facilitating efficient communication both internally and externally. Additionally, this role will involve handling personal tasks such as property management, overseeing building projects, and arranging travel.
The role can be conducted remotely, but there will be some requirement to work from any of the offices, or from the directors' homes.
The Person
The ideal candidate should be exceptionally organised, detail-oriented, and capable of handling a variety of responsibilities with professionalism and discretion. They will be willing to work alone or as a member of a hard-working team, smart in appearance with a professional manner and good communications skills. We welcome applicants who are keen to settle into a PA role and are eager to make a meaningful impact on our organisation.
Applicants should possess prior experience in the role of PA to directors, coupled with a commitment to consistently do the right thing.
Main Responsibilities
- Proactively manage and maintain the Directors' busy calendars, scheduling meetings, appointments, and travel arrangements.
- Prioritise and handle correspondence, emails, and phone calls on behalf of the Directors.
- Prepare, review, and edit documents, reports, presentations, and other materials as required.
- Act as a liaison between the Directors and various internal departments and clients.
- Assist in organising and coordinating company events, meetings, and other special occasions.
- Maintain confidentiality and handle sensitive information with the utmost discretion.
- Handle ad hoc tasks and projects as assigned by the Directors.
- Manage Directors' business and personal travel.
- Oversee personal property management.
- Manage personal and household finances.
Key Skills
- Proven experience as a Personal Assistant or in a similar administrative role.
- Strong organisational skills and the ability to multitask effectively.
- Excellent verbal and written communication skills.
- Proficiency in office software and tools, including Microsoft Office Suite.
- Exceptional attention to detail and accuracy.
- Discretion and the ability to maintain confidentiality.·
- Resourcefulness and the ability to anticipate needs and provide solutions.
- Professional demeanor and strong interpersonal skills.
- Flexibility to adapt to changing priorities and work independently.
- Willingness and availability for occasional overnight stays.
