Job Summary
This is a fantastic opportunity to join a mission-driven organisation, working alongside a team of assistants. This role reports to our Chief of Staff and will be supporting our Director of Stakeholder Engagement (based in the UK), and our Senior Director of Data & Tech (based in Malaysia). As a Personal Assistant, you will provide a comprehensive level of organizational support. As we are a global organization, this role will best suit someone who is adaptable and open to supporting multiple directors, across different time zones.
Like all roles at Textile Exchange, the role will be primarily home-based, although due to the location of the directors, there is a preference for candidates based in the UK. Textile Exchange is a US-based, remote-working organization with a global team.
Core Responsibilities
- Working efficiently and seamlessly to support multiple directors.
- Inbox support and correspondence - Sorting incoming emails by filing, and prioritizing, whilst ensuring strict confidentiality.
- Diary management - Prioritizing and rescheduling as necessary.
- Management of all travel arrangements - Including transport, accommodation, itineraries, and visas when required.
- Expense management - reconcile monthly corporate card charges and reimbursements as required.
- Proactively ensure adequate meeting preparation, including relevant documents and briefings.
- Record and disseminate notes and follow-up actions when required.
- Support with presentation creation, formatting, proof-reading as required.
- Know ‘who’ across the organization can provide you with critical information, and support as needed.
- Liaise with internal team members and external partners on behalf of your directors.
- Support with team meets, virtual and in-person as required.
- Work proactively to give key reminders of upcoming activities and support as required.
- Get involved with projects and provide support/research on an ad-hoc basis.
- Be resourceful and able to work autonomously across a complex organizational structure.
- Manage updates in ClickUp (Project Management Tool) and Salesforce (Customer Relationship Management System) on behalf of your directors.
Experience and Qualifications
- Previous experience as a Personal Assistant or Administrative Assistant.
- Experience working within a global organization, scheduling across multiple time zones.
- Proficient computer skills, including Microsoft Excel, PowerPoint, Word, Teams, and the ability to quickly learn new systems.
- Experience with Salesforce, or similar systems is preferred.
- A driven individual with a strong work ethic, initiative, able to hit the ground running.
- The ability to stay calm under pressure, whilst maintaining a sense of urgency and efficiency when appropriate.
- Organized with an excellent eye for detail and passion for problem solving.
- Literate, with excellent written and grammatical skills in English.
- Strong interpersonal skills, with the understanding of discretion and confidentiality.
- Willing to travel domestically for meetings and internationally for team meets when required.
- Happy to work across different time zones (within reason, it is not expected that you will work extremely long hours).
Employment Package
- Reports to: Chief of Staff
- Full Time, Permanent Position, 40 Hours a Week
- Location: Virtual/Remote
- Salary Range: £35,000-£42,000 GBP dependent on experience
- Start Date: As soon as possible
- Our offers for salary and benefits are dependent on the region of the final candidate. We post most positions based on a US-based Team member but final offers are done in alignment with the final candidate's permanent residence and in line with Textile Exchange's regional employment package.
