In a nutshell

As a Personal Assistant you will be required to provide professional and confidential support by assisting the Conduct & Compliance Director with administrative, analytical, and organisational tasks. These tasks will range from diary management, organising of meetings, expenses, assisting with presentations, arranging travel and accommodation as well as providing administration duties for the wider department.

What you’ll be doing

  • Organise, plan, support and prioritise monthly and daily activities along with diary commitments for the C&C Director.
  • Arrange and prioritise meetings, appointments, events, and conferences (internal and external).
  • Read, prioritise, and action all inward correspondence, screening telephone calls and reviewing all emails and packs to ensure the C&C Director is aware of key information.
  • Organise and attend, where appropriate, meetings, steering groups and forums ensuring all are well prepared with the relevant documents, briefing papers, reports, and presentations when necessary and follow up on any related issues with the relevant business areas as required.
  • Manage all travel and accommodation where necessary.
  • Carry out a broad range of administration procedures and duties to assist in the overall performance of the team including invoices, expenses and maintaining structure charts.
  • Meet and greet visitors at all levels of seniority and supporting with the induction process for new colleagues joining the team.

What you need to know and show

  • Previous experience working in a PA capacity, including diary management, presentation and report writing with the ability to apply sound judgement and decision making.
  • Excellent word processing/notetaking/secretarial and communication skills.
  • Strong impact and influencing skills with the ability to engage stakeholders and demonstrate a high level of integrity, discretion, and confidentiality at all times.
  • Good working knowledge of Word, Excel, PowerPoint, Visio and Microsoft Teams.
  • Excellent problem-solving skills with the ability to understand and analyse data, paying attention to detail.
  • Ability to organise, plan and prioritise workload with confidence.
  • Excellent team player with strong interpersonal skills and the ability to network and develop strong relationships with all areas of the business and colleagues at all levels.
