Role purpose:
To provide proactive, professional and confidential PA and administration support to Several of the Product and Platofrm Engineering Portfolio Heads. Required to build a strong network and act as a professional point of contact, to both the PPE leadership team and other stakeholders, across Vodafone Business and Group Technology. A flexible approach to team coordination, diary management and other administrative activities is also required in order to support the team.
Job Responsibility
Key accountabilities:
Diary Management which includes working with competing demands that require effective and timely prioritisation.- Email management including inbox control, management of overseas travel process and approval of EVO requests with consistent monitoring of holiday/sick leave
- Anticipate requirements for meetings and ensure “Heads of” are fully briefed and prepared (inc pre-reads, follow-up actions, task schedulding and agenda preparation). Flag any concerns in a timely constructive manner.
- Organize complex travel arrangements, as required, for worldwide travel across multiple time zones, including overseas chauffeurs, hotels and parking. Respond quickly and efficiently to changes in travel arrangement.
- Communication support & event logistics
- Working alongside the Business Managers to ensure alignment on diary activity and upcoming actions
- Work closely with VBPS PAs, where appropriate, whilst sharing best practice maintaining effective relationships and ensuring adequate secretarial cover is maintained.
- Evaluate all enquiries and deal with them directly or refer/escalate as necessary. Track all issues through to resolution. Pro-actively monitor and report trends.
- Facilitate the production of presentation materials for Internal and External conferences. Agree date and time of presentation, link conference organisers with the Vodafone contact to agree content of presentation.

Proven experience of support at SLT level- The ability to adapt to, and thrive, in a constantly changing environment
- Highly organised with meticulous attention to detail and able to manage competing demands.
- Strong communication skills, both written and verbal. Good influencing ability, confident and challenging where appropriate.
- Approachable with a can-do attitude, resilient with the ability to remain calm and focused when under pressure
- Builds effective relationships, breaks down barriers
Must have technical / professional qualifications:
Essential
- Self-starter, ability to use own initiative and work with minimal direction
- Able to deal with all levels of management and remain confidential at all times
- Highly proficient secretarial skills. Proficient in MS office with an emphasis on Outlook and MS Teams
- Able to prioritise own workload
- Confident and engaging communication and influencing skills with an ability to challenge when appropriate
