We have an exciting opportunity to join our publishing operations team as a Personal Assistant (PA) to our Publishing Operations Director.
As a PA you will manage the Publishing Operations Director’s diary and daily schedule, allowing them enough time to prepare for meetings, attend to the day-to-day requirements, whilst factoring in time for independent work and breaks.
You will liaise regularly with senior management, deal with confidential information and will be empowered to make certain decisions and communicate on behalf of the Publishing Operations Director and department.
We are looking for an experienced PA to join the team and take the lead on certain projects for the benefit of the wider department.
Key Responsibilities:
Organise internal and external meetings across multiple sites. This will include organising department Townhalls, other events and supplier meetings, as well as regular senior management forums. Responsibilities include booking the rooms/venue, online zoom/teams calls, arranging catering, minuting.- Arrange travel for the department leadership team. Working with numerous suppliers to organise complex itinerary
- Collate and produce monthly suppliers spend reports in excel. Querying anomalies with suppliers and Production as and when. Presenting this financial information as appropriate.
- Provide high quality support to meetings, such as preparation of reports and agendas, formatting and producing high quality PowerPoint presentations and taking minutes
- Administrative support, maintain group emails, etc
- Process expenses for the leadership team on time and with correct receipts
- Approve and capture all direct report holidays and input into diary
What you’ll bring to the role:
Advanced Microsoft Office skills, including Excel, Word, PowerPoint- Previous experience working as a PA to a senior manager
- Competent at using MS Teams, Zoom, and Outlook to set up virtual meetings and work groups
- Strong organisational skills, especially diary management
- Strong communication skills
- Attention to detail
Knowledge of the publishing industry and operations and working knowledge of Biblio, Bookscan and Tableau is desirable but not essential.

This is a hybrid role with some days working from the office and some days from home. There will be regular meetings and activities that you will need to attend in person at our offices in Nine Elms and Vauxhall Bridge Road. Working patterns can be discussed further at interview stage.
