We are currently looking for a talented and motivated Personal Assistant to support the Division Manager (DM) of our Transportation & Urbanisation (T&U) Division. This role can be worked flexibly from our Central London office with a mix of office and home based working and the option to adjust start/finish times.
What does the role involve?
You will assist in managing the DM’s office to ensure the function is run efficiently and effectively, decision making is timely and functional objectives are met. The role is varied but key duties include the following:
- Managing critical relationships on behalf of the DM, including clients and non-exec commitments.
- Assessing all enquiries directed to the DM and determining the appropriate course of action.
- Full management of the DM’s email inbox including drafting replies to clients, colleagues and suppliers on behalf of the DM and providing insight trends.
- Undertaking extensive full diary and travel management, including determining which meetings take priority, future planning, meeting and liaising with clients and ensuring environment is set up for meetings.
- Providing support to the Commercial Finance Manager.
- Produce monthly reports for the division on behalf of and in conjunction with the DM.
- Attending, note taking and producing Records of Decisions of monthly Leadership Teams and other management meetings.
- Planning, coordinating and executing functional meetings, off-sites and events.
- Assisting with audits.
- There may be occasions when you will need to travel to other offices.
To be successful in this role you’ll possess:
Considerable experience gained in a similar role with the ability to predict what is needed to prevent last minute activity. You'll have exceptionally strong planning, organisation and prioritisation skills with the flexibility to adapt to changing situations, you'll have the ability to work independently, multitask and work under pressure. You'll have a high level of attention to detail with the ability to work to deadlines, experience of operating and influencing up to Director level as well as excellent emotional intelligence, communication and relationship management skills.
You will have excellent Microsoft skills including Word, Excel, PowerPoint, Outlook and Teams.
