An exciting opportunity has arisen to work within the Primary, Community & Therapies Service Group. The successful candidate will provide a comprehensive, efficient and organised personal administrative service to the Group Senior Management Team.
The post holder will facilitate and support meetings, preparing all relevant paperwork. Producing accurate and well-presented correspondence, reports, minutes and other materials as appropriate.
The post requires maintenance of office diaries including the organising of internal, multi-directorate, multi-partnership meetings, booking of venues and catering arrangements when required. Attendance at meetings to take minutes and identifying items, which require follow up, or actions and refer to the appropriate person. Opening incoming mail and maintain a comprehensive filing system.
It is essential that the post holder has excellent keyboard skills and is conversant with a range of computer packages.
This is an excellent position for an ambitious and driven individual. It isessential that the post holder has excellent communication skills, the ability to organise and forward plan as well as demonstrate the ability to build good working relationships with senior colleagues.
Duties include but are not limited to:
- Providing a comprehensive, efficient and effective high quality personal assistant service to the PCTSG Directors/Senior Management Team.
- Being the first point of contact for Group Directors/Senior Management Team, ensuring a professional and positive attitude at all times.
- Organising and planning the daily schedules for the Group Directors/Senior Management Team, dealing with sensitive and confidential information appropriately, and utilising diplomacy at all times.
- Assisting Group Directors/Senior Management Team in undertaking projects and tasks to support their workload and reduce it wherever possible and provide accurate and well-presented correspondence, reports and letters.
- Participating and contributing towards the development of electronic working models in order to maximise the benefits of desktop technology and improve processes across the Service Group.
