About the role
We have an exciting opportunity to join the Ocado Technology Personal Assistant team as a Personal Assistant on a secondment basis. This role has a dual focus, supporting the two Management Board individuals from OSP and assisting in managing the Tech Admin Team Assistant's that support the OSP Board and UK Technology.
In this role, you will support the Ocado Technology Senior Leadership Team, supporting the flow of work within that team. You will act as a liaison between the and other members of the organisation whilst maintaining confidential information. You will be collaborative in your approach and work closely with the wider Personal Assistant team.
In this role you will be responsible for:
- Supporting two members of our senior leadership team with extensive dairy management , arranging meetings, booking meeting rooms, arranging all travel itineraries both nationally and internationally.
- Assist in setting up, supporting & SliDo moderation of Stream or Department specific Town Halls &
Live streams - General administrative duties including handling expenses, invoices, ordering stationery, arranging parking permits and post to name a few.
- Assisting the team in planning and running OT events on site and offsite this can be anywhere in the world as well as the UK based team.
- Always demonstrating the core Ocado and Ocado Technology values, contributing to the business in a helpful, polite and professional manner undertaking any task however big or small.
- Supporting in meetings; taking minutes, recording meetings, time stamping or generally prepping for the session.
About you:
- At least 2 years experience as a Personal Assistant or Team Assistant to Senior Management level.
- Intermediate level IT Skills and familiar with Cloud based tools such as Google Apps including Gmail, Drive, Calendar, Docs, SliDo etc.
- An Approachable, Flexible, Engaged, Creative and Attentive attitude.
- Ability to work in a fast paced environment
- Excellent problem solving and communication skills both written and verbal.
- Excellent organisational skills, such as ability to manage multiple diaries, organise complex travel and accommodation reservations.
