We are currently looking for a highly organised and motivated personal assistant to assist the Director of our Surveying Firm. This position is responsible for the day-to-day operations of the office, as well as providing administrative support for the Director. You should have excellent communication skills and be able to multitask effectively. You must be highly organised, proactive and have a keen eye for detail. The ideal candidate is someone who can take initiative, manage their time efficiently and thinks strategically.
The primary responsibilities include, but are not limited to:
- Answering phones and responding to inquiries in a timely and professional manner
- Delivering and managing high quality customer service
- Scheduling appointments and managing calendars
- Drafting correspondence, reports, emails, etc., on behalf of the Director
- Managing incoming mail and emails
- Calling prospective clients following in-bound enquiries
- Assist with marketing strategies and operate process
- Processing payments, invoices, expense reports, etc.
- Maintaining filing systems both electronically and physically onsite
- Arranging travel plans including flights and accommodation when necessary
- Taking dictation from the Director as needed
- Performing research projects for the Director such as gathering data for specific reports or presentations
- Other ad hoc duties as assigned by the Director.
- Develop processes for efficient operation of the office and help maintain a filing system for all documents; retrieve documents as needed
- Monitor emails sent to the Director; respond or forward as appropriate
- Assist in organizing special events and developing our quarterly magazine
- Assist in our charity fundraising events and daily operations
The ideal candidate will have excellent communication skills (verbal & written) as well as strong attention to detail. They should also have an ability to stay calm under pressure while working collaboratively with other office staff. A college degree is preferred but not required; however candidates must have at least two years of experience working in an administrative role or similar position. Additionally, knowledge of MS Office Suite (Word, Excel & PowerPoint) is required. The successful applicant will be joining a small team that emphasizes team work while allowing individuals to utilize their own unique skillset every day in order to optimize efficiency within our organization.
Position Type: This is a part-time position with flexible hours available depending on workloads.
