Job Title: National Police Chiefs’ Council - Personal Assistant

Salary: £32,194 to £34,452 plus a location allowance of £1,721. You will receive £32,194 the band minimum. Progress to the band maximum of £34,452 will be via incremental progression.

Location: Remote working, and we encourage applications from candidates living across the UK. NPCC is currently based at 10 Victoria Street, London and therefore occasional travel will be required to this and other Police locations across the UK. Further details on flexible arrangements will be discussed at interview stage.

Contract: Fixed term contract until 31st March 2024 with the potential for further extension, subject to funding and performance.


THE NATIONAL POLICE CHIEFS’ COUNCIL (NPCC)

THE ROLE

The Personal Assistant is responsible for providing high level and confidential secretarial and administrative support to the National Police Chief’s Council (NPCC) ACC Sensitive Equities, SOC Deputy Director and support to staff officers. The Serious Organised Crime (SOC) Portfolio is a new addition to the NPCC remit, to enable a national cohesive and directed approach to tackling serious organised crime. The post holder will be instrumental in supporting SOC Portfolio Senior Leads ensuring engagement, collaboration, and participation nationally and across governmental bodies.

Key Responsibilities

  • Manage and maintain the ACC and Deputy Director’s diary and emails relating to appointments and correspondence.
  • Review and prepare correspondence and/or respond to relevant emails on behalf of the ACC and Deputy Directors.
  • Conduct weekly diary meetings with the Staff Officers, ACC, and Deputy Directors to discuss upcoming engagements, invitations, and other requests.
  • Schedule on behalf of the ACC and Deputy Directors, meetings with direct reports and the Boards and Groups to which they are members.
  • Organise and administer meetings internally and externally at national level liaising with Chief Officers, officials and others as required, collate, circulate and quality assure agendas and papers, take, and circulate minutes.
  • Prioritise, monitor, and chase up outstanding actions, and personally deal with both straightforward and complex issues to ensure responses.
  • Prepare and check outgoing internal and external correspondence and reports, including sensitive and confidential material.
  • Coordinate travel requirements, venue booking and accommodation.
  • Filter general information, queries, phone calls and invitations to the ACC and Deputy Director’s by redirecting or taking forward contact as appropriate.
  • Brief the ACC and Deputy Directors on current and ongoing matters.
  • Keep and maintain an accurate record of papers and electronic correspondence on behalf of the ACC and Deputy Directors.

VETTING

Applicants must hold or be prepared to undergo National Security Vetting (NSV) at SC level before taking up the post.

The successful candidate would need to have the following experiences and skills:

Knowledge

  • Knowledge of UK policing structure, national policy, and procedures
  • Intermediate IT skills with an ability to proactively problem solve and flag issues
  • Knowledge of IT systems, the ability to pick up new system/packages quickly and keep up to date with technology as it develops/advances

Skills

  • Excellent strategic planning and organisational skills to provide leadership and standards regarding agenda planning, minute taking, identification of actions and decisions for all meeting and boards
  • Excellent written and oral communication and interpersonal skills
  • High level of attention to detail, with a methodical approach to ensure the notes, papers and decisions from corporate boards are accurate and auditable
  • Upmost discretion around managing sensitive matters of national importance
  • Excellent interpersonal skills with the ability to brief senior colleagues and partners

Experience

  • Experience of minute taking, with the ability to analyse information and produce succinct notes in plain English of discussions and decisions made at meetings
  • Able to work under pressure to manage a high volume of work, often set against short timescales and on behalf of a member of SOC senior officers, and to maintain confidentiality
  • Prior office manager and/or Personal Assistant experience to senior officers and/or staff
  • Experience in using Microsoft office O365 programs, Outlook, Excel, Word, PowerPoints, and Forms
  • Previous experience of diary management, taking production of agendas, accurate minutes of meetings, letters, maintaining accurate records, project documentation and database spreadsheets
  • Ability to work as part of a small team as well as working independently using own initiative
  • Ability to manage a heavy workload with competing priorities
