High level overview of role:
The successful candidate will act as the key point of contact and provide dedicated comprehensive administrative and secretarial support to senior individuals within Actuarial Public and the wider team. You will act as nominated representative of the senior employee(s), where appropriate. The successful candidate will be highly motivated and possess key attributes around planning, organising and attention to detail. The role contains an element of operational support which is required in relation to projects involving differing levels of input, enabling development of experience, knowledge and new skillsets. To this end, the candidate should have a flexible, can-do approach to a varied workload.

Key responsibilities will include:
- Regular inbox management, flagging any urgent items/matters for attention as appropriate
- Diary management, including responding to internal and external meeting requests and making any necessary arrangements
- Prepare draft agendas and supporting documentation for meetings to ensure that they are well organised and run smoothly
- Action administrative matters on behalf of the Partners and the wider team as directed.
- Attend meetings as required including minute taking and maintenance of action lists
- Pro-actively arrange all travel and accommodation requirements
- Process, monitor and retain records of expenses
- Manage the monthly time recording and billing process on behalf of the individuals you support
- Distribute, draw attention and deal with relevant client correspondence on behalf of the individuals you support
- Screen and deal with client calls as appropriate, ensuring that any appropriate actions from the client call are dealt with / escalated, as appropriate
- Perform ad hoc associated Personal Assistant and team secretarial duties.
- Provide varied operational support as directed within wider Business Unit
- Adhere to the firm’s Information Security standards, policies and procedures
Skills and Qualifications Required
Qualifications:
- Educated to GCSE / Scottish Standards or equivalent level in English, or with equivalent experience
- Experience working in a related role, preferably within a professional services environment
- Typing speed of approximately 50 words per minute with a 90% accuracy rate
Skills:
- Relevant experience in the provision of support to senior level management, including working closely with and on behalf of senior management, extensive diary management and travel arrangements.
- Proficient in the use of Microsoft Office and with a working knowledge of Microsoft Teams
- Able to produce reports, presentations and various communications in line with the firm’s standards
- Excellent planning and organisational skills
- Strong interpersonal and communication skills, demonstrated in the ability to consult successfully at every level within the firm, and interact professionally with clients
- Ability to mentor and support less experienced colleagues
