Role Overview: Future Build Recruitment is currently collaborating with a prominent high-end residential refurbishment main contractor based in South London. This esteemed company is renowned for its exceptional craftsmanship, attention to detail, and the transformation of luxury properties into exquisite homes. As the Personal Assistant / Office Manager, you will play a pivotal role in supporting the Managing Director and Business Development Director, as well as ensuring the smooth operation of daily office activities.
Responsibilities:
Personal Assistance:
- Provide comprehensive personal assistance to the Managing Director and Business Development Director, including managing calendars, scheduling appointments, and arranging travel logistics.
- Prepare and edit correspondence, reports, and presentations, ensuring accuracy and professionalism.
- Conduct research, gather information, and assist in preparing materials for meetings and presentations.
Office Management:
- Oversee the smooth functioning of the office, maintaining a professional and welcoming environment.
- Manage office supplies, equipment, and inventory, ensuring their availability and proper maintenance.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries and directing communication as appropriate.
Administrative Support:
- Assist in the preparation and coordination of company events, meetings, and conferences.
- Process invoices, expense reports, and other financial documentation, maintaining accurate records.
- Support the recruitment process by liaising with Future Build Recruitment and coordinating candidate interviews and assessments.
Business Development Assistance:
- Provide support to the Business Development Director in identifying potential clients and opportunities for business growth.
- Assist in the preparation of proposals, contracts, and marketing materials.
- Conduct market research to identify industry trends and competitor analysis.
Qualifications:
- Proven experience as a Personal Assistant and/or Office Manager, preferably within the construction or related industry.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
- Strong written and verbal communication skills, with meticulous attention to detail.
- Proficiency in using MS Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Exceptional interpersonal skills, with the ability to build relationships with internal and external stakeholders.
- Discretion and confidentiality in handling sensitive information.
