Personal Assistant – Manchester (Hybrid) – Competitive salary and benefits package
As a Personal Assistant for our Property and Facilities Services team you will be responsible for providing high quality and pro-active personal assistance support to the MD and Leadership team of P&FS. Taking responsibility for optimising the leaderships time and ensuring the smooth running of day to day activities for the team.
You will coordinate and manage extremely busy diaries, monitor emails, arrange internal and external meetings and events. Additional support activities include; UK and overseas travel and itineraries, preparing for meetings including helping to prepare PowerPoint presentations and coordinating agendas and briefings in advance.
The key for the success of this role will be running an efficient office for the MD and provide support to senior members of the team.
You will be expected to always have a professional approach and a high degree of trustworthiness, discretion and confidentiality.

What will the role involve as our Personal Assistant?
- Builds a trusted and effective working relationship with the P&FS stakeholder community across BT
- Owner of the P&FS Leadership team diaries, with minimal guidance, strategically co-ordinates and aligns the diary by exercising judgement and decision-making while filtering, prioritising and delegating requests and solving conflicts, with minimum instruction.
- Coordinates content and activities, leveraging stakeholder relationships, using experience, and expertise
- Ensures actionable emails are dealt with daily and open actions are tracked through to completion.
- Independently responds to emails, delegating and sharing as appropriate, seeking guidance where required.
- Coordinates agendas and briefings in advance of meetings, working with content owners and subject matter expert leads.
What are we looking for in our Personal Assistant? You may have a variety of the below;
- Confidentiality: diplomacy and discretion in keeping sensitive strategic, commercial and personnel matters - confidentiality is paramount
- Time Management and Planning: strong skills in planning, organisation and time management, strong grasp of detail, working to deadlines.
- Autonomy: ability to work with minimum of instruction, anticipate needs and be a self-starter are essential
- Relationship building: able to present a strong professional front, build strong relationships and develop wide networks internally and externally to exert influence on outcomes, get work done through others, without direct authority

The Property & Facilities Services team are accountable for all aspects of the BT Global property portfolio which includes offices, operational exchanges, data centres, depots and specialist buildings. The portfolio extends to over 8,500 properties across the globe and we provide workplace facilities services to circa 100,000 colleagues globally. The cost of operating the portfolio including cumuli rates is circa £1Bn pa.
