Job description

Personal Assistant
Northampton

As a Barclays Personal Assistant, your responsibilities include supporting the HR Strategy, Transformation and Business Management Lead and their team in the delivery of their role and function on a daily basis, providing proactive support and using your communication skills to enable stakeholder relationships at all levels of the organisation. This is a great opportunity to showcase your excellent ability to organise, prioritise and manage colleagues’ and stakeholders’ expectations.

Barclays is one of the world's largest and most respected financial institutions, with 329 years of success, quality and innovation behind us. We offer careers that provide endless opportunity – helping millions of individuals and businesses thrive, and creating financial and digital solutions that the world now takes for granted.

We are currently in the early stages of implementing a hybrid working environment, which means that many colleagues spend part of their working hours at home and part in the office, depending on the nature of the role they are in. We’re flexible on how this works and it may continue to change and evolve. Depending on your team, typically this means that colleagues spend a minimum of between 20% to 60% of their time in the office, which could be over a week, a month or a quarter. However, some colleagues may choose to spend more time in the office over a typical period than their role type requires. We also have a flexible working process where, subject to business needs, all colleagues globally are able to request work patterns to reflect their personal circumstances. Please discuss the detail of the working pattern options for the role with the hiring manager.

What will you be doing?
• Acting as the main contact point both in the presence and absence of the HR Strategy, Transformation and Business Management Lead
  • Scheduling and rescheduling appointments and meetings
  • Ensuring proactive management of the individual they are supporting, to make sure they are always in the correct place, on time and with all relevant papers
  • Booking all travel arrangements and accommodation, and planning full itineraries where necessary
  • Building close working relationships with their direct reports to ensure effective collaboration across the function
  • Guaranteeing leadership team wishes are conveyed, being aware of the degree of discretion that can be exercised on behalf of them when communicating and disclosing information
  • Taking personal ownership of tasks and sharing knowledge to improve communication across the team, using own initiatives to make informed decisions
  • Managing and encouraging the participation in community events supporting volunteering numbers within Talent Acquisition

What we’re looking for:
• Excellent organisational and administrative skills, demonstrating flexibility and adaptability to prioritise and manage workloads, and to provide support for urgent projects
  • Ability to work under pressure to meet tight deadlines, using own initiative without supervision, both on an individual basis and as part of a team
  • Confident building superior relationships with key stakeholders at all levels and work collaboratively as necessary, ensuring discretion when handling confidential material
  • Good level of numeracy to process invoices and expenses, as well as a high level of IT skills, including MS Word, Excel, PowerPoint, Outlook

Skills that will help you in the role:
• Secretarial qualification (RSA or equivalent) would be ideal but not essential
  • GCSE English or equivalent qualification is preferred
  • Excellent written and communication skills with a high-level of attention to detail and accuracy, with the ability to prioritise and operate under pressure in a fast-moving environment
  • Knowledge of office administration procedures is advantageous

Where will you be working?
Northampton was the birthplace of Barclaycard in 1966 and we've been based in Pavilion Drive since the building opened in 1997. We purchased the building from the landlord in early 2018 as a sign of our commitment to investment in Northampton. Plans to further develop this Campus-style location are under way to allow for a real collaborative work environment. Based just off the A45 it is easily accessible by both car and bus routes.
