We currently have an A3 vacancy within the People and Performance Team. This role will predominately support the HR function but also the wider team.
This role will provide you with the opportunity to start your career in an HR environment and there will be an opportunity for you to undertake an HR professional CIPD qualification should you wish to.

This post is based in the People and Performance Team within the Agency. The team compromises of 8 members of staff (including this post) who deliver services to around 250 SAAS colleagues. We are a busy customer facing team who lead on HR, resourcing, organisational learning and development and all other people-related matters across SAAS. The team provide people-related services, information, advice and support to help drive the performance of SAAS.
This post is varied and interesting and the successful candidate will play a key role in delivering the SAAS People and Performance service ‘offer’ and the people strategy outcomes by providing essential administrative support to the team including important system updates on e-HR (a new HR system is to be introduced later this year) and note taking including at formal HR meetings.
- Support the team function by carrying out required actions and processes for (but not limited to) TRS, promotions, leavers, contractors, staff movements, retirements etc. which includes updating e-HR and issuing template contract letters.
Provide HR casework admin support which may include submitting OH referrals, note taking, arranging meetings, preparing papers and updating the HR casework tracker.
Monitor the HR mailbox which may include offering standard advice on people related issues to staff, logging queries on HR Online and escalating complex queries to P&P colleagues.
Regularly manage and update excel spreadsheets in relation to sick absence, probation and exit interviews to help the B1 P&P Adviser coordinate and take forward the necessary next steps for each process (i.e. informal/formal meetings, exit interviews).
Contribute to on-going team project of paper file removal/condensing of cabinets by sorting team paper files and identifying ones (ensuring they are in suitable format) for scanning electronically (onto ERDM).
Provide ad-hoc admin support to the team which may include admin support for on-boarding/inductions, note taking, arranging meetings, preparing papers, monitoring mailboxes and updating ERDM.

Essential Criteria
1. Experience of delivering excellent customer service and maintaining good working relationships and trust, ensuring information is handled sensitively and confidentially.
2. Good communication skills (verbal and written), confident in dealing with a range of people at all levels and producing work, particularly note taking, that is accurate, clear and concise.
3. Highly organised with the ability to prioritise competing demands through use of strong planning skills.
4. Strong IT skills with experience of using a variety of systems particularly Excel, Outlook and Record Management and an interest to learn new systems and processes.

SAAS has separate arrangements from core Scottish Government for Public and Privilege holidays. After taking up post in SAAS you will take the Spring Friday and Monday holiday in late May/early June together with the September half day. SAAS office is fully closed between Christmas and New Year.
SAAS are currently operating Hybrid Working Arrangements combining office attendance with Working From Home. Potential candidates can discuss in more detail with the Recruiting Manager.
