The Communications Division is part of the Directorate for Communications & Ministerial Support. The Division is responsible for the outward presentation of Scottish Government policies and attracts a high level of interest from Ministers and the media.
The role will support the Division’s people and business function.
The role supports delivery of the business function, with a focus on supporting with our priority tasks such as news planning documents, Media Centre, team mailbox, finance, and supporting our People and Business Manager on the coordination of regular divisional work.
You will be committed to continuous improvement to ensure a high quality service is provided. You will liaise with colleagues across the division, so experience of dealing with a range of is stakeholders is essential. You will have high standards of customer service, digital skills, an eye for detail, the ability to organise tasks and adapt to changing priorities, ensuring deadlines are met.
You will work closely with the People and Business function colleagues and will report to the B2 People and Business Manager.
Working with the People and Business Manager to provide recruitment and induction support across the division.- Support the provision of diary and mailbox Personal Assistant support to both Communications Deputy Directors.
- Support the People and Business manager as required.
Administration Support
Manage the St Andrews House Media Centre booking system, ensuring that rooms are always ready for communications specialists or ministerial use.- Ensure that high priority daily tasks are completed within deadlines and to a high standard.
- Monitor the team mailbox and assist with tasks such as travel bookings.
- Provide business support to division staff as required.
Finance Support
Provide regular support to colleagues across all areas of financial activity.
Step Up – Learning and Development
Providing ad hoc support on people focused activities such as Step Up our communications division learning and development programme.

Essential Criteria
1. Excellent planning, administration and organisational skills, with a flexible approach to managing tasks in order to meet changing and conflicting demands.
2. Excellent communication and interpersonal skills ability to build strong working relationships with internal and external stakeholders.
3. Ability to work as part of a team, maintaining good working relationships and contributing to the team’s overall performance.
4. Proficient in the use of Microsoft Office (Outlook, Word, Excel).

You will be expected to remain in post for a minimum of three years unless successful at gaining promotion to a higher Band or Grade.
