Purpose of the Role
Yamaha is looking for a Payroll Administrator to join our People Operations Team. In this role you will be responsible for supporting the Manager of Payroll with preparation, processing and close of Payroll and related activities.
NOVAtime Administrator Responsibilities
- Review time-sheet exceptions and coordinate with employees, managers, and HR Benefits Partner for resolution in accordance with federal & state regulations and YCA policies & procedures.
- Review time sheet approval status and send gentle reminders to employees and managers; ensure all approvals are complete before moving time-sheets to Payroll status. Send report to People Operations.
- Create time export file for payroll processing, balancing export file with detail time-sheet report and resolving any out-of-balance situations.
- Creating and ‘dropping’ import file for UKG Pro employee data and accrual balances.
- Coaching employees and managers of YCA Policies & Procedures, and 9/80 schedule regulations as needed. Communicate with manager to schedule ‘refreshers’ and to provide additional support.
- How-to resource for NOVAtime employee and manager tasks, and open support tickets with NOVAtime when needed. Reset employee passwords.
- Prepare and review meal penalty reports, coach employees and managers on meal and rest requirements. Send report to People Operations.
- When instructed, add new NOVAtime setup for employee access codes, schedules, and pay policies.
Payroll Process Responsibilities
- Review UKG time off workflows for adherence to 9/80 schedule (9.00 hours submitted on nine-hour day etc.), and YCA policies & procedures (full day increments for sick and floating, full, or half for vacation, etc.).
- Review and approve UKG workflows and identify and complete action items for payroll. For example, supervisor changes require updating user defined fields and if non-exempt, preparing employee data import for NOVAtime to update.
- Review 30-day milestones for GTL/Life, and 90-day for 401(k) and to add sick time to balance.
- Prepare and review pre-payroll reports (LOA, Audited Changes etc.). Resolve any open or pending items before opening payroll.
- Complete payroll process, run tax reconciliation, and run payroll reports. Prepare and transmit 401(k), ACH, and g/l upload files. Prepare 401(k) wire request.
- Complete tax and 401(k) balancing worksheets; notify manager of any out-of-balance situations.
- As needed, complete off cycle payrolls and payroll checks. Complete action items on termination worksheet.
- Run and transmit child support New Hire registry report.
Year-End Responsibilities
- NOVAtime extend pay cycles and add YCA holidays for the upcoming year.
- Validate bank holidays and PPB/PPE/Check Dates after manager has updated UKG Pro.
- Review employee W-2 retirement box, GTL & Life amounts, and 401(k) limits are correct before manager finalizes W-2s.
- Prepare and distribute EITC Notice according to individual state requirements.
- Open ticket for annual SUI rate change notices; validate UKG Pro production has been updated with the correct rates.
- Review and notify employees of federal/state tax exempt status expiration.
Fidelity PSW Responsibilities
- Download weekly Fidelity reports -eligibility, contribution and loan changes, lost shareholder- and update UKG Pro.
- Create export file or manually update Fidelity PSW with new hires, terminations, LOAs, and address changes.
- Quarter- and year-end review of amounts processed in UKG Pro compared to Fidelity transactions; identify and notify manager of any out-of-balance situations.
- Initiate amortization requests for LOA employees returning to work to update repayment frequency.
- Temp Labor
- Review temp labor invoices for accuracy and prepare for payment.
- Prepare weekly and month-end temp labor report.
Ideal
Qualifications
- Demonstrated success providing excellent customer service.
- Experience with bi-weekly payroll processing
- Proficient in UKG Pro or similar payroll software program
- Experience with NOVAtime
- Knowledge of overtime laws in multiple states
- Attention to detail
Other Responsibilities
- Report payroll and prepare payment requests for Workers Compensation monopolistic states; currently OH and WA.
- Report payroll and prepare payment requests for NY SDI & PFL.
- Complete VOE requests.
- Complete required BLS reporting; currently CA and PA.
- Month-end reports to HR/Benefits Partner for AFLAC and short-term-disability.
- Provide g/l coding to Finance for LOA employee benefits paid by check.

Compensation
- Up to $33.00 per hour
- The posted compensation is the base pay. This is the hiring range and does not include bonus potential or the value of benefits. The hiring range does not reflect total earning potential over time.
