Integro Clinics exists to offer hope where traditional clinical approaches to medical issues have failed. We have a team of leading consultants in pain medicine, psychiatry, oncology, women's health spinal pain, palliative medicine and other conditions, who provide patient centric high quality medical care that is effective, appropriate, timely and within a safe environment.
We are now looking for a Patient Co-Ordinator to join our team on a permanent, full-time basis.
Responsibilities
- Maintaining accurate patient records which includes appointments, patient communication notes, financial transactions, and other administrative duties.
- Taking all incoming calls and returning calls missed no matter their relation to the clinic.
- Managing all incoming inbox’s and clearing daily, working to KPI of all emails being responded to within 24 hours
- Emails need to be actioned and completed or allocated to the right clinic email and or staff member.
- Staff will need to keep patient call notes recorded on the patient management system by logging on to patient files
- Patient calls for appointment bookings, cancellations, and rescheduling.
- Patient emails for appointment bookings, cancellations, and rescheduling.
- Being competent in handling patient general enquiries, appointment types and time frames.
- Taking patient payments through the I zettle and Barclays software, ensuring appointments or prescription requests do not proceed unless payment has been made
- Manage and answer all incoming new enquiry emails and current patient emails maintaining a prompt follow up to all non-responsive email leads.
- Accurate and timely end of day reporting.
- Keeping up to date knowledge of products and treatments.
- Identifying, escalating priority issues to high level management.
- Solicit patient feedback to help identify areas of improvements, keep accurate patient feedback records in the patient’s profile on the patient management software.
- To maintain skills at the current level and undertake such training and development as may from time-to-time be required to maintain personal competency.
- Reviewing and managing doctor’s diaries for the coming days and weeks to make sure the correct appointments have been made.
- Follow up late or DNA appointments and missed opportunities.
- Raising any GDPR breeches with management immediately
Qualifications
- Educated to GCSE level or equivalent
Experience
- Experience of working as a patient coordinator or in a similar role
- Experience of working in a healthcare environment
Skills
- Excellent verbal and written communication skills
- Clear, polite telephone manner
- Competent in the use of Office and Outlook
- Experience in using healthcare systems such as Semble and Pabau is desirable but not essential
- Effective time management (planning & organising)
- Ability to work as a team member and autonomously
Please note, the successful candidate will be required to undergo an enhanced DBS check.
The successful candidate will need to have the flexibility to work in the office when needed.
Job Type: Full-time
Salary: £23,000.00-£26,000.00 per year
