We have had funding approved for 5 additional Referral to Treatment Validators to support the Trust in managing the large number of patients we have on our waiting lists following COVID. This will consist of 2 permanent posts and 3 fixed term (for 24 months) posts. At the end of the 24 months, there will be a review to determine if the fixed term posts will be extended. These roles will be mainly work from home

These are key administrative roles to ensure that our patient pathways are robustly tracked and monitored. Working mainly from home, the post holder will use the Trust’s information systems to provide weekly and monthly comprehensive review and validation of inpatient and outpatient waiting lists

Although it would be beneficial if you have experience working at NUH or another NHS provider this is not essential to apply for the role. Instead we want to see applications from people who are highly motivated to make a difference to patient care, organised, conscientious, have an investigative approach to things, pay high attention to detail in everything they do, enjoy learning new things and can confidently navigate and extract information from a range of admin systems

Detailed job description and main responsibilities

Using the Trust Information systems (Medway PAS, NotIS, ERS and DHR) carry out weekly validation of inpatient and outpatient waiting lists to ensure the Trust’s Patient Access Policy is being adhered to and to ensure that all patient pathway data is accurate.

Using Medway PAS, NotIS, ERS and DHR information systems to complete and validate a varied range of reports to ensure your weekly/monthly submitted data is accurate for reporting at corporate level.

Investigate issues with pathways and amend Medway PAS to reflect the correct information in terms of pathway identifiers and RTT statuses.

Alert managers within the team of any data found which does not meet national data standards.

Report unresolved discrepancies/problems or potential breaches of national waiting time and other targets to the Service.

Use judgement and initiative to prioritise the importance/urgency of particular requests within specialty defined guidelines.

To have knowledge and understanding of operational processes, practices, protocols and new legislative changes in particular around 18 week pathway rules and RTT measurement.

To undertake other specialty specific duties in accordance with Trust policies and procedures to facilitate the patient pathway in liaison with the Service.

To support staff in their understanding and application of the 18 week RTT pathway.

Share responsibility with line manager for own personal development.

Report on patient data in meetings as required.

Working from home the post holder will be required to work to tight deadlines under minimal supervision.

Training and Qualification

Essential criteria

  • NVQ in Administration or equivalent
  • GCSE English and Maths C or above or equivalent

Experience

Essential criteria

  • Experience of presenting information in both written and verbal format
  • Ability to interpret and understand patient pathways
  • Extensive experience in using Microsoft Office, Excel, Word, Outlook
  • Understanding of performance targets and the 18 week pathway
  • Understanding of the NHS and current challenges

Desirable criteria

  • Experience of undertaking validation
  • Use of formula and pivot tables within Excel
  • Experience of communicating with all grades of NHS staff
  • Experience using NUH trust systems; Medway, DHR, Notis

Communication and relationships skills

Essential criteria

  • Communicate and negotiate effectively with colleagues at all levels and disciplines
  • Can complete emails, reports & tables using computerised technology from information collected
  • Uses information gathered to inform others and make decision

Salary: The quoted salary will be on a pro rata basis for part time workers.

The system will provide us with an outcome of your check which will be stored securely on your personal file along with all other pre-employment check documentation.

Consent:

  • Transfer of information: If I have previous NHS service - I consent to the transfer of my Electronic Staff Record (ESR) data between this and other NHS Trusts. I also consent to the Occupational Health Department confidentially accessing my occupational health records from my current or previous employer in order to check the status of my vaccinations, immunisations s and screening tests as relevant to the post. I understand this is an automated process and the information will only be used for these purposes prior to me taking up the position at NUH.
  • Disclosure and Barring Service: Your post maybe subject to a DBS check which incur a cost dependent on the level of check required (£41.90 for enhanced and £21.90 for standard). I agree to reimburse Nottingham University Hospitals NHS Trust the cost of a Disclosure and Barring Service (DBS) check if it is required (by deduction from first month’s pay).
