Main purpose of the role
To be a key member of the Construction & Property Team and provide administrative support to a Team of lawyers. The Team is currently supported by 3 legal secretaries.

Hours
9.30am – 5.30pm Monday to Friday, with flexibility required outside those times on occasion. We are working in a hybrid working model with a minimum of 3 days within the office.
The Opportunity
Joelson is a thriving commercial law firm based in the West End of London, with 60+ people.
Principal duties
- Assisting the instruction of technical experts and arranging inspections of new sites
- Drafting collateral warranties and updating precent documents to meet new legislations
- Conduct research and communicate findings to Partners and other Fee Earners
- Liaise with clients, contractors, agents, solicitors and lenders in person, by telephone and in writing, offering clear and concise information
- Chase parties for information and follow up on case matters
- Managing construction due diligence
- Drafting trade contracts, updating trackers, reviewing engrossments, and drafting JCT contracts and running conflicts of interest and AML checks
- Conducting searches and Land Registry applications via digital portals
Administrative Duties
- File opening – KYC, KYC checklists, Lawman file set up, engagement letters, and matter acknowledgment letters
- Closing and archiving of files when necessary
- Scanning and printing documents
- Drafting progress reports, client claim reports, third party correspondence, ancillary documents and formatting and comparing letters
- Organising the signing of deeds
- Operate the Firm's quality procedures and information security systems as specified in the current edition of the Compliance Manuals
- Reviewing files whilst conforming, dating, formatting, redacting, and populating documents
Finance & Billing
- Overseeing the monthly bill tracking
- Conducting billing, credit notes, payments, invoicing for the department & support with expense sheets
Diary Management
- Arranging Travel/Meetings/events/seminars
- Responsible for diary and inbox management, ensuring the team is run efficiently
- Arranging agendas and conference calls, sending calendar invites when necessary
Ideal Candidate
Our ideal candidate will have the following:
- Strong academic record with an undergraduate law degree or the GDL & LPC qualifications or equivalent
- Experience working within a busy and fast-paced administrative role.
- Knowledge of Construction and / or International Arbitration Litigation work
- An outgoing, enthusiastic and confident manner
- Excellent communication skills, both orally and in writing
- Strong organisation and administration skills, with the ability to prioritise workloads effectively
- The ability to see matters through with a good eye for detail
- A friendly and personable approach with colleagues and clients
- A proactive and growth mindset towards achieving goals
- Strong IT skills, including Microsoft Outlook, Word and Excel, and an ability to pick up new systems quickly.
- The ability to work effectively to deadlines
