Job Summary
We're looking for an experienced PA to support 2 of our Buying Directors. This is an important role that will find you working with other PAs across the large Buying team (whilst working cross functionally with Merchandising PAs) and will include proactive diary management, managing emails, travel arrangements, organising meetings, drafting correspondence, producing presentations, general administration and ensuring the efficient running of the office.
You will represent the Buying Directors using discretion and confidentiality at all times and will build strong trusted relationships and be positively perceived as representing the office of the Buying Directors
Key Responsibilities
Organising and updating the Buying Director’s diaries- Answering and dealing with emails where appropriate (particularly when BD is travelling)
- Organising BD’s travel including visits to European and US offices
- Organising Team Offsites/Store Visits
- Liaising with Buying Managers Admin and Merch Coordinators to enable GM routines
- Typing documents of a confidential nature
- Preparing and editing PowerPoint presentations
- Liaising with both external and internal people of all levels
- Maintaining good working relationships and liaising with other PAs to ensure a flow of information and ideas, and provide a support network
- Supporting with Oracle and TMS needs/issues
Key Skills, Knowledge & Experience
Essential
- Educated to a minimum of GCSE standard (or equivalent);
- Proven strong administrative and organisational skills;
- PC literate with intermediate computer skills and good data entry skills;
- A genuine interest in retail;
- Demonstrates flexibility and ability to adapt to an ever-changing and diverse environment;
- Able to juggle a number of constantly changing priorities and multitask in a high volume and fast paced environment while maintaining a positive and professional demeanour;
- Independent, able to work effectively without close supervision
- Committed and reliable;
- Excellent attention to detail;
- Task oriented, aware of deadlines;
- Excellent communication skills, both verbal and written;
- Strong interpersonal skills, ability to form and maintain relationships with people on all levels;
- Self-starter, self-motivated, fast learner;
- Ability to represent the company in a professional manner.
