The Role: PA to Directors
Contract: Opportunities for 6 & 12 month FTC
Location: Greater London House, Hampstead Road, London NW1 7FB
In this role you should be a reflection of your Directors, living the ASOS Way and acting as an ambassador of ASOS and your Execs. You will be accountable for managing your Directors day to day at ASOS to ensure they meet their responsibilities. You must be committed and have an adaptable approach to maintaining relationships with internal and external stakeholders, responding quickly to the demands and remain one step ahead at all times.
This role encompasses a wide variety of tasks and requirements – varying from meeting and greeting guests through to compiling reports and managing deadlines.
The Role
The role is responsible for providing effective and efficient PA support to Director(s). Responsibilities include but are not limited to:
- You are the extension of the Director (s) you support.
- Screening all telephone calls, enquiries, any requests and handling them when appropriate.
- Management and organisation of the diary. Ensuring efficient time between meetings, no clashes and the diary meets the expectations of the Director(s).
- Ensuring meeting rooms are booked for each meeting, including ensuring the room is clear, tidy and left the way you found it.
- Meet and greet guests from reception on behalf of your Director(s).
- Constant email management. Including responding to emails as and when required, filing emails and responding on behalf of the Director (s).
- Creating all briefing documents as and when required for meetings. Including any background research, briefing papers, reports, presentations and presenting findings.
- Attending meetings (when required) and ensuring the Director(s) are well-prepared for meetings.
- Liaising with clients, suppliers, colleagues and Exec members.
- Managing and maintaining all data and filing systems, for the Director(s).
- Co-ordinating, organising and booking travel (UK and International). Ensuring detailed itinerates are created and distributed, all visas or any other documents are confirmed, taxis are booked when required, restaurant reservations are confirmed any any additional requests.
- Taking minutes when required, including identifying any clear actions, typing up meeting notes and circulating.
- The management of all expenses for the Director (s), including approving their direct reports, monitoring and chasing approvals.
- Organising conference calls, ensuring all participated are the correct details.
- Producing presentations in PowerPoint and ensuring they are circulated prior to meetings.
- Raising and managing any PO requests.
- Fulfilling ad-hoc requests both internally as well as externally.
The Person:
ASOS is looking to employ a confident and dynamic individual with the ability to proactively manage their Director(s) diary with ease while consistently remaining one step ahead. It’s important the candidate build and maintain a relationship with the Directors teams, understanding the structures and priorities for the Directors and their department. Developing an understanding of key work streams as well as keeping an ear to the ground in terms of what’s happening amongst the team and keeping ahead of things and flagging to Directors. The successful candidate must be highly motivated with the ability to juggle multiple tasks while working in a demanding (but fun!) environment. Experience of working at Director level in a previous role preferred.
