The Role: Personal Assistant (12 months FTC - Maternity Cover)
Location: Greater London House, Hampstead Road, London NW1 7FB
Reports to: Technical Advisor to the CEO/Senior Director of Operations
Start date: 6th June 2023
About the Role
In this role you should be a reflection of your Directors, living the ASOS Way and acting as an ambassador of ASOS and your Directors. You will be accountable for managing your Directors day to day at ASOS to ensure they meet their responsibilities. You must be committed and have an adaptable approach to maintaining relationships with internal and external stakeholders, responding quickly to the demands and remain one step ahead at all times.
The role is responsible for providing effective and efficient PA support to 3 Directors:
- Technical Advisor to the CEO & Senior Director of Operations
- Senior Director of Global Commerce & Channels
- Director of Insights & Analytics
The 3 Directors you will be supporting manage a number of functions, including Global Trading, Insights, Digital Commerce, Strategy, Merchandising, among others. Your role as PA will play an integral part of helping them to deliver the most exciting and relevant fashion to our 20-something customers across the world. You are an extension of the Directors you support.
What You’ll be Doing
- Pro-active management and organisation of multiple diaries. Ensuring rooms are booked, calls are set-up correctly, and the diary meets the expectations of the Directors. Anticipating their needs and relieving them of administration/co-ordination duties.
- Continuous email management. Including responding to emails as and when required. Appropriately handling confidential information.
- Creating briefing documents for meetings, including any background research, reports, PowerPoint presentations, Excel spreadsheets.
- Managing the agenda, deck and minutes for your Directors’ leadership meetings.
- Lead on the planning and execution of Team offsites and events.
- Organise functional townhall meetings for department of 200 people.
- The management of all expenses for the Directors, including approvals.
- Raising and managing POs on behalf of the department.
- Co-ordinating, organising and booking travel (UK and International).
- Shared cover with the other PAs when on annual leave.
- Supporting our culture by driving Diversity, Equity & Inclusion strategies.
Who We’d Like to Meet
ASOS is looking to employ a confident and dynamic individual with the ability to proactively manage multiple Directors’ diaries while consistently remaining one step ahead. Candidates must be highly motivated with the ability to juggle multiple tasks while working in a demanding (but fun and creative!) environment.
- An experienced PA who has supported multiple individuals at Director/Exec level
- A confident multi-tasker with the ability to remain calm under pressure and deal with sensitive/confidential topics
- A proactive self-starter who enjoys working collaboratively as part of a team
- Excellent organisational and communication skills with strong attention detail
- Proficient in Microsoft programmes, in particular: Outlook, Teams, SharePoint, PowerPoint
