We are seeking a highly organized and detail-oriented individual to join our team as an Assistant Operations Office. As an integral part of our office operations, you will provide administrative support and ensure the smooth functioning of day-to-day activities. Your excellent communication skills and ability to multitask will be key to managing various tasks efficiently. Responsibilities:
- Administrative Support: Assist with general office tasks, including managing phone calls, emails, and correspondence. Coordinate appointments, meetings, and travel arrangements for team members. Prepare and distribute documents, reports, and presentations as required.
- Office Operations: Orders processing, purchases, and inventory management. Coordinate with vendors and service providers. Manage office facilities, including maintaining cleanliness and organizing workspaces.
- Data Management: Maintain accurate and up-to-date records, files, and databases. Assist in data entry, data analysis, and report generation as needed. Handle sensitive and confidential information with discretion.
- Communication: Serve as a point of contact for internal and external stakeholders, providing exceptional customer service and resolving inquiries or issues promptly. Distribute internal communications and announcements effectively.
- Team Support: Collaborate with team members to support various projects and initiatives. Assist in organizing team-building activities, events, and meetings. Foster a positive and inclusive work environment.
- Process Improvement: Identify opportunities to streamline office operations and enhance efficiency. Propose and implement process improvements to optimize workflow and enhance productivity.
- Ad hoc Tasks: Assist with additional tasks and projects as assigned by the management team.
Requirements:
- Education: High school diploma or equivalent qualification. Additional education or certification in office administration is a plus.
- Experience: Prior experience in an administrative or office support role is preferred but not mandatory. Fresh graduates with relevant internships or part-time experience are encouraged to apply.
- Organization and Attention to Detail: Strong organizational skills with the ability to manage multiple tasks simultaneously and meet deadlines. Pay meticulous attention to detail in all aspects of work.
- Communication Skills: Excellent verbal and written communication skills. Ability to interact professionally with individuals at all levels of the organization and external stakeholders.
- Problem-Solving: Proactive problem-solving skills and the ability to think critically. Adaptability to changing priorities and willingness to take initiative when required.
- Computer Proficiency: Proficient in using Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant software. Experience with data entry and database management is a plus.
- Confidentiality: Ability to handle sensitive information with utmost confidentiality and discretion.
- Team Player: Strong interpersonal skills and the ability to work collaboratively in a team-oriented environment.

Salary: £22,000.00-£26,000.00 per year
