Job Overview
Flora & Curl Haircare is looking for an experienced Operations Manager to join our growing team. You will help us to manage the day-to-day operations and processes of our plant-based haircare company (supply chain, inventory ordering, production, customer services, applications, e-commerce platforms, product development, sales and manage key retail accounts). This essential role reports to and directly supports the CEO.

You are an organised multi-tasker, with a high level of attention to detail. Agile and adaptable, you are a pro-active person, and can problem solve, and come up with solutions to improve and optimise system and processes. A people motivator, you gather the rest of the team to encourage them and build them up with knowledge and motivation so that they can achieve their individual targets and we can achieve our company goals.
Key Responsibilities
The goal of this role is to look after the operations of the company, to ensure that all areas of the business are working smoothly and efficiently in order for the company goals to be achievable. As you manage the operations, you push the company’s toward success.
You will have wide knowledge of how the operations of a beauty/haircare business works including product management and history. With a constant focus on the company’s success, you will ensure KPIs are in place and production, demand and supply targets are met. Overseeing key internal operational departments and team members (customer services, supply chain, product development, sales and marketing), you will support these teams to ensure that they achieve the goals that we set out, to increase sales goals and targets to increase overall brand awareness. A natural project manager, you can see the big picture to support the company’s growth.
General
● Ensure all internal processes and operations are carried out efficiently, in a timely and cost-effective way
● Improve operational management systems, processes using best practices and recommendations from data history, trends and patterns
o Find ways to increase quality of customer service
o Offer ideas for our marketing and product development
o Find ways to reduce cost and enhance efficiencies
● Formulate strategic and operational objectives
● Examine financial data and use them to improve profitability
● Manage budgets and forecasts and monitor that accounting is up to date
● Perform quality controls and monitor production KPIs
Supply Chain
Demand Analysis, Production Planning and Inventory Management
Manage the production cycle of our entire range by working with the Supply Chain Manager to manage our inventory.
- Understand the production lead times of our product range
- Ensure that based on the stock forecast, we have enough products to cover our safety stock level and that we have enough incoming goods at any given time to supply future demand from B2B and B2C orders. The goal is to minimise stock-outs.
- Actively monitor inventory levels in our warehouses, including incoming stock deliveries from the lab and other suppliers, new stock items, and informing customers, retailers and the team about out-of-stock items. Communication is key.
Purchasing
- Monitor product levels and work with the CEO to raise purchase orders for raw materials and finished goods to replenish where appropriate in the forecast timeline
- Work together with the CEO to discuss order quantities for new orders you will place
- Ensure that the lab has all components needed to produce the order at a given time, and manage the execution of components and kitting projects (multi-packs, gift sets, etc.)
- Take initiative and provide resolutions for receiving and/or supplier issues identified within manufacturing cycles
Retail account management of large accounts and Amazon accounts
- Manage the requests and process orders from key accounts (including LookFantastic)
- Process orders for shipment to Amazon FBA and access Amazon UK and US to maintain Amazon FBA stock.
Other
- Approve payments
- Provide essential support to the CEO in other aspects of the business, where needed (e.g. sales, training, NPD, hiring, accounts, invoicing).
Communication and Reporting
- Communication with the team members on their projects through Slack and
- Video calls, including attending internal and external meetings.
- Host 1:1 meetings and team meetings
- Key daily contact for contract manufacturers and retailers via email and
- phone. Chasing up suppliers on status updates and delivery dates.
- Follow-up with third party suppliers, freight forwarders, and partners on a daily basis, adding urgency when needed
Required Experience
- Experience in supply chain/logistics/operations management or similar
- Supplier/manufacturer relationship management
- FMCG experience
Beneficial Experience

Skills & Qualities
- Excellent verbal and written communication skills, especially strong skills interacting with multiple vendors and third-parties
- Intermediate to highly advanced Microsoft Excel and analysis skills
- Highly numerical and analytical
- High attention to detail
- Excellent negotiation, problem-solving and conflict management skills
- Ability to work in a fast-paced environment
- Time management and project management
- Must have a positive can-do attitude, with a genuine and reliable disposition
- Excellent project management and organizational skills; able to handle multiple tasks/projects and manage priorities accordingly; with a high tolerance for ambiguity.
- Understanding of general finance and budgeting, including profit and loss, balance sheet and cash-flow management.
- Excellent office computer and data entry skills (email, word-processing and spreadsheet software databases)
