Job description
We are seeking a highly motivated individual to serve as our Operations Manager. The successful candidate will be responsible for ensuring the smooth running of the charity’s operations as well as delivering first class executive support to the CEO. In this versatile role, you will help manage and support our excellent team of Family Liaison Officers (who are on the frontline liaising with families and stakeholders) and support central executive functions such as monitoring (of the service); safeguarding; fundraising, user involvement; and assist with various FCT meetings.
Delivering high quality management support, you will work closely with the CEO, Family Liaison Officers, County Chairs & Teams, and the many volunteers who support FCT.
The Family Counselling Trust (FCT) is a registered mental health charity providing key early intervention psychological support to children, young people (up to age 18) and their families predominantly on low incomes, whilst remaining accessible to all. It was founded in 2005 to respond to the growing array of challenges that young people and their families face – all linked to emotional, behavioural or other mental health problems – where they were unable to access the timely and adequate support needed. We offer qualified and experienced psychological therapists in what is an holistic service involving the families. The work of FCT has been growing since March 2018 and we need to strengthen our central executive team to support this growth.
Location: Working from home, you should be based in Dorset, Hampshire, Wiltshire or Somerset.
Key Duties and Responsibilities:
- Reporting to the Chief Executive Officer, you will play a key role in managing the day to day running of the charity’s operations;
- Managing a small team of Family Liaison Officers (x 4); providing direction, guidance and troubleshooting support, ensuring all team members are working towards achieving targets.
- Collating and producing data for monitoring and evaluation of the service and grant spend;
- Maintain administrative systems and keep clear records for key duties and responsibilities;
- Keeping policies and procedures up to date with changes agreed by the Board of Trustees and relevant committees;
- Preparation for and assistance with various internal meetings including minute taking;
- Maintaining the central Safeguarding Register;
- Supporting recruitment of practitioners, volunteers and staff through job websites e.g. Indeed.com and Reach Volunteering;
- Dealing with confidential information and maintaining information security and integrity
(MS 365 account provided);
- Support for all User Involvement work and FCT Training activities;
- Providing support in relation to fundraising efforts and events;
- Help build and maintain positive relationships with all colleagues - working co-operatively with service users, service partners and other stakeholders where relevant;
- Identify opportunities for process improvement and develop and implement strategies to increase efficiency and effectiveness;
- Receive supervision and attend induction/training as required;
- Know and adhere to FCT policies and procedures;
- Represent FCT externally as required.
Experience/qualifications/ability:
· Delivering excellent support by telephone, email, online platforms and face to face.
· Ability to follow processes and instructions.
· Ability to implement and communicate process change to a variety of stakeholders.
· Ability to adapt your communication style to suit colleagues, service users and situations when dealing with all enquires and passing on work to other team members.
Undertake any other duties appropriate to the post, as requested by the Chief Executive Officer.
PERSON SPECIFICATION
Education and qualifications
a) Good education to degree level, however, we will consider someone with exceptional relevant work experience without a formal degree.
b) Relevant professional qualifications.

c) Excellent interpersonal and communication skills, including fluent written and verbal
communication skills with the ability to communicate effectively with a wide range of people.
d) Strong managerial skills to oversee a small team; providing direction & support, and ensuring all team members are working effectively towards objectives.
e) Strong organisation and co-ordination skills, with an ability to maintain oversight and timely delivery of a variety of tasks.
f) Ability to maintain accurate detailed records, to monitor progress against targets and assist with the production of comprehensive reports (monitoring & evaluation), including statistics, for senior management and funders.
g) Strong IT skills and high competency in Microsoft Office 365 including advanced Excel (including data analysis, using formulas and linking workbooks), Word, Outlook, Teams and Powerpoint and Zoom.
h) Ability to organise and deliver successful events, both online and offline.
i) To carry out research and speak with colleagues and community partners across the UK in order to share good practice.
j) To be administratively self-supporting, independent and proactive using own initiative, whilst remaining accountable to line management.
k) To deal positively with challenges, to analyse problems and identify and implement workable solutions.

Desirable - you do not need to meet every requirement in this list, however, you will need to demonstrate a willingness to learn and develop in any areas you may have less experience in.
p) Some understanding of mental health issues – for children, young people and families.
q) To assist with certain financial aspects (budgets, analysis).
r) Familiarity with our accounting package (QuickBooks) is desirable.
The ability to update websites (Wix.com) and use social media.
